Virtual Operations and Executive Assistant

We are seeking a dedicated and proactive Virtual Operations and Executive Assistant to support our Founder and assist with various business functions remotely. This part-time role (20-30 hours per week) has the potential to become full-time with additional hours based on performance and business needs. The position requires a highly organized individual with excellent communication skills and a keen eye for detail.

- HOW YOU’LL CONTRIBUTE -

Administrative Support:

  • Manage and prioritize the Founder’s calendar to enhance efficiency and effectiveness.
  • Prepare documentation, such as agendas, recaps, action items, meeting minutes, and progress updates, ensuring they are completed within 2 business days.
  • Sort and process emails, ensuring timely responses to important inquiries, maintaining professionalism and confidentiality.
  • Act as the Founder’s right hand, capable of managing all the ins-and-outs of their day, calendar, and, on occasion, life, including some personal scheduling and tasks.

Operational Coordination:

  • Schedule client meetings for the team and coordinate virtual meetings, ensuring effective communication and alignment.
  • Track and manage business subscriptions and expenses, coordinating with the bookkeeper.
  • Update documents, organize and sort files and folders electronically.
  • Ensure key projects are completed on time by inputting and managing projects in project management tools.

Contractor Onboarding and Support:

  • Assist in onboarding new contractors, ensuring smooth system access and setup.
  • Support new contractor setup and integration, including managing platform access to Google, Indeed, LinkedIn, and others.
  • Act as the administrator for business systems, maintaining organization and updates.

Recruiting Support:

  • Conduct initial screens, resume reviews, job postings, and coordination of interviews.
  • Perform reference checks, process candidate background checks, and schedule interviews.

Project Management:

  • Input and manage projects in project management tools, ensuring timely completion and coordination.
  • Organize and maintain project documentation and best practices.
  • Enhance project management processes and coordination, ensuring projects are completed on time.

Marketing and Social Media:

  • Assist with social media posts and engagement, creative writing for marketing outreach, and managing online presence.
  • Conduct outreach for podcasts and apply for recognition/awards on behalf of the Founder.

- WHAT YOU HAVE -

  • Proven experience as an Executive Assistant, Operations Assistant, or similar role.
  • Exceptional organizational skills with the ability to prioritize tasks and manage time efficiently.
  • Strong communication skills with excellent written ability.
  • Proficiency in screening emails and calls, ensuring timely and appropriate responses.
  • Proficiency in Google Suite and willingness to learn new technology and software.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to work independently with minimal supervision while maintaining high levels of productivity and accuracy.
  • Creative writing skills to engage clients on behalf of the Founder and for social media content.
  • Genuine curiosity and proactive attitude.
  • Experience working remotely and managing virtual communication tools.
  • Interest or experience in Recruiting or Human Resources is highly desirable.
  • Availability to work during standard business hours, preferably Monday through Friday.

Pay: $21.00 - $26.00 per hour
