Number of Openings: 1

Position Overview: The Field Services Administrative Assistant assists and supports the Field Service team members and is responsible for general administrative duties, including maintaining accurate and complete records of project documents. The position is under direct supervision.

Customer Service:

  • Upload completed installation documents to customer portal
  • Manage/consolidate frames data through all life cycles, manufacture, IQ, and sustaining
  • Upload of spares packets to customer share point
  • Triggering audits of tools and non-inventoried supplies on site.
  • Monitoring Redline submittals, and tracking for implementation
  • Track and facilitate the movement of warranty and ECR orders from the submission process through approval to site
  • Issue tracking documentation

Field Service Site Support:

  • Badge monitoring for expirations, and HIS responsibilities
  • Customer training, for new and expiring requirements.
  • Tracking and facilitating non-technical training
  • Onboarding training scheduling, technical and non-technical, new employee requirements
  • Consolidate learnings from multiple locations currently used by each group for tool installs through the IQ process.
  • Sites support accesses (WIINGS, Fusion, All in one, etc) ensuring appropriate updated data provided.
  • Maintain data set with provided data for escalation tracking and weekly meeting minutes
  • Schedule and coordinate traveling resources

Qualifications:

  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel in particular), SharePoint, data entry
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • High School degree or equivalent required
  • 2 years of related administrative experience
