Summary

Job Title: Construction Project Manager Assistant

Department: HCI Construction

Reports to: Construction Project Manager

Location: South Sioux City, NE

Status: Exempt

Summary

The Project Manager Assistant is responsible for daily correspondence and interaction with clients, subcontractors, and vendors related to project scheduling, equipment, and materials. This includes assembling of project logs, such as equipment, submittal, and shop drawing logs.

Essential Functions

  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Process RFI’s, change orders, project e-mails, plans, equipment release forms, transmittals, etc.
  • Archive iterations, i.e. addendums or bulletins to drawings and specification in an organized manner electronically
  • Monitor labor/material/sub-contractor costs and budgets.
  • Create and track project Request for Change paperwork and Change Orders
  • Complete required compliance documentation for customer or general contractor
  • Issue Purchase Orders and track materials to ensure timely arrival per project timeline
  • Create and maintain project binders and ensure that all applicable communication for the project is filed properly
  • Prepare Request for Quotes as required by Estimating Department
  • Follow up with general contractors or customers after bid opening
  • Attend on-site and off-site meetings as necessary
  • Contract administration, working with estimating and project management in creating and issuing contract and purchase orders for the project
  • Ensure that project contracts, bids and governmental development applications are completed and filed on time
  • Assist the project management team with document control needs and change orders
  • Interact with clients, vendors and staff in a professional, courteous and appropriate manner
  • AR/AP for Subcontractors: Track, manage, and process purchase orders and invoices
  • Provide administrative support to a project team; make copies and file general office paperwork; answer phones in a professional manner
  • Understand and follow company chain of command and reporting methods.
  • Retain and apply what is learned as it applies to the next skill level.
  • Regularly attend company safety training sessions.

    This position will have no supervisory responsibilities

    Work Environment

    This job performs physically demanding work. May work at great heights or outdoors in all weather conditions. The use Personal Protection Equipment is required. May also be required to do office work with use of computers, copiers, fax, and answering systems.

    Physical Demands

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

    • The position lifts heavy objects, walks and stands for long periods of time and performs strenuous physical labor under adverse field conditions.
    • The employee lifts, pushes, pulls or carries objects; uses abdominal and lower back muscles to provide support over time without fatigue; and effectively jumps, sprints or throws objects.
    • The position requires good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination.
    • The position requires the ability to quickly move arms and legs. The employee must have excellent stamina.
    • Must be able to be on feet for long periods of time up to 50% of the time.
    • Occasionally moves about inside the office to access file cabinets, office machinery, etc.
    • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
    • Expresses or exchanges ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly or quickly.
    • Frequently moves all types of equipment up to 75 pounds.
    • Must be able to work in various weather conditions for long periods of time

    Position Type/Expected Hours of Work

    This is a full-time position (40 hrs./week). Days and hours of work are typically Monday through Friday, 7:00a.m. to 3:30p.m. with overtime as needed before/after shifts and on Saturdays.

    Travel

    Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

    Experience

    Three to five years of work-related experience preferred

    Two years of work experience in the construction industry preferred

    Three years of work experience as a Project Manager assistant preferred

    Effective written and verbal communications

    Able to work 40 hours per week

    Must be detail oriented, organized and confident in the ability to complete tasks in an effective manner

    Self-Sufficient skills in use of Word, Excel, Outlook and strong general computer skills

    Basic understanding of blueprints

    Strong organizational skills

    Confident in managing multiple tasks at one time

    Driven in a fast-paced setting

    Education

    Associate’s and/or bachelor’s degree in Business or Construction related fields preferred.

    Additional Eligibility Qualifications

    Maintains a valid driver’s license and be insurable under company insurance provider/program
