Hoke County Schools is Hiring a Transportation Administrative Assistant Near Raeford, NC

Qualifications:

  • Associate’s Degree
  • Experience with Excel, Microsoft, Access
  • Experience with Synovia-Silverlight GPS preferred

Supervises:

  • None

Essential Job Functions:

  • Provides support and assistance to Department Supervisor, Coordinator, and other appropriate school system personnel
  • Fields, filters, and directs phone calls; answers calls in a timely manner
  • Greets and directs all visitors to appropriate parties via phone or in person
  • Displays strong interpersonal, verbal and written skills as well as great organizational and analytical skills
  • Communicates and directs departmental technicians/mechanics to efficiently address/satisfy mechanical issues
  • Composes, prints, and posts memos and notifications regarding holidays, early release, tutoring, and road closings
  • Composes, sends, and posts Here Comes The Bus (HCTB) and Facebook (FB) notifications daily
  • Communicates directly with appropriate Law Enforcement and other municipal agencies as necessary
  • Submits Stop Arm Violations to State Highway Patrol (SHP) Office
  • Prepares and exports Bus Driver payroll to finance department
  • Contacts schools for certified employees school hours – related to driver payroll
  • Prints and provides time sheets for drivers’ signatures
  • Files time sheets and drivers’ information
  • Prints and files finance reports
  • Forwards background check forms and applications to Human Resources
  • Screens potential/new employees – conducts reference checks
  • Contacts new applicants with CDL-class details and drug screening dates
  • Collects and maintains accurate driver information (address, phone, copy of current/valid license)
  • Submits CDL training class advertisement information to local news outlets
  • Coordinates with DMV on acquisition of new applicants’ driving records
  • Coordinates license renewal process for drivers with DMV representative
  • Contacts, secures, and documents substitute drivers
  • Communicates daily (primarily via email) with all HCS Administrators regarding logistical changes/adjustments.
  • Prints, provides, organizes, and maintains daily, state mandated TD-28 records, ensuring driver compliance; signatures, student count, and mechanical issue recognitions
  • Records mechanical issues called in via radio and telephone
  • Serves as daily departmental mail courier
  • Maintains and orders supplies
  • Performs all other duties as assigned

The major physical and cognitive requirements listed below are applicable to the Transportation

Administrative Assistant job classification within Hoke County Schools. Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.

Must be able to:

  • Multitask and prioritize in a busy office setting
  • Prepare, read and comprehend a variety of job related forms, reports, spreadsheets, maps, plans, records, documentation and correspondence in all languages required by the job
  • Understand and conform to all rules of punctuation, grammar, diction and style

  • Write using standard convention in all languages required by the job

  • Communicate effectively and efficiently in all languages required by the job using whatever communication device or system is required (telephone, Braille)
  • Use/interpret job related terminology, mathematical formulas and functions effectively and efficiently
  • Deal with people beyond giving and receiving instructions
  • Perform under stress, deal with persons acting under stress and adapt when confronted with emergency situations
  • Be sensitive to cultural differences among individuals and groups of persons
  • Learn multiple computer software applications
  • Operate a motor vehicle
  • Operate/use a variety of automated office machines and other job specific office equipment
