Project Administrator

Do you thrive in a fast-paced environment and enjoy keeping things organized? Our project administrator position offers a unique opportunity to gain valuable experience in operations and project management fundamentals. You'll work directly with the Director of Operations, supporting them in keeping projects running smoothly and on track. This is a hybrid role (3 days a week in the office) in Parsippany, NJ.

Responsibilities:

  • Become a Scheduling Pro: Assist with creating project schedules, tracking milestones, and maintaining timelines using Asana, a project management software.
  • Document Everything: Help prepare and maintain key project documents, including meeting minutes, status reports, and risk assessments.
  • Communicate: Actively communicate with team members to gather progress updates and ensure everyone is aligned.
  • Schedule Meetings: Facilitate team collaboration by coordinating meetings, taking clear and concise notes, and documenting follow up items and action items.
  • Risk Management: Learn how to identify and manage potential project risks to keep things on track.
  • Project Management: Dive deep into project management best practices through research and independent learning.
  • Office Administration Mail: Assist with sorting and routing mail to the appropriate team member/department, including other office administrative tasks.

  • Detail-Oriented: You have a keen eye for detail and ensure accuracy in all your work.

  • Problem-Solving: You can identify issues and propose viable solutions
  • Tech-Savvy: You're proficient in Microsoft Office Suite or Google Products.

Bonus Skills:

  • Experience with data collection and analysis
  • Report generation
  • Presentation creation

Associate’s degree or professional certificate in Business Administration, project management or related field required. Bachelor’s degree preferred.

1 to 2 years working in a corporate or office environment.

Relevant work experience in administrative, project planning, coordination or execution where you managed tasks and deadlines.
