Homeland Security and Emergency Services, Division... is Hiring a Program Aide - VID 160268 Near Latham, NY

Minimum Qualifications

Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Duties Description
The incumbent will be assigned to support the Disaster Recovery Programs Office Administrative Support Section. The duties include but are not limited to:
  • Coordinate the signature of the Alternate Governors Authorized Representative and maintain records of all Deputy Commissioner signed documents across all Recovery Programs.
  • Organize information for multiple meeting agendas held regularly and/or ad-hoc, both internally and with our federal partners.
  • Assist with Recovery Fleet coordination and monitoring the maintenance needs of the fleet and execute necessary actions.
  • Attend meetings as needed and take notes or minutes.
  • Deploy with the Deputy Commissioner for Recovery Programs as needed for trainings, during a disaster event, or to staff an open JFO.
  • Assist with the logistical coordination during staff deployments.
  • Data entry and information tracking for various personnel actions within the Office of Recovery Programs.
  • Create and maintain multiple spreadsheets for various activities.
  • Draft, format and type correspondence, reports, and other related documents.
  • Organize, maintain, and update electronic information and documentation.
  • Respond to inquiries or requests from other entities as needed.
  • Seek appropriate resolution of issues.
  • Complete special projects as assigned, usually with minimal turn- around time.
  • Maintain files, make copies, scan, email, and other office support activities as assigned by supervisor.
  • Perform the full range of supervisory responsibilities.
  • Perform other duties and special projects as required.
NOTE:
  • Travel may be required (approximately 10%), including during evening and weekends, depending on assignment.
  • Possession and maintenance of a valid Driver’s License issued by the NYS Department of Motor Vehicle is required, or otherwise demonstrate the capacity to meet the transportation needs of the job.
NOTE: Support of operations during times of emergency and disaster from State Emergency Operations Center (EOC), state field offices and/or local deployments may be required, which would result in a change and/or increase in working hours, locations and/or duties.
