Position Summary

The Operations Manager will ensure operational efficiency and compliance across the organization by overseeing policies, procedures, vendor management, financial oversight, and human resources. Key responsibilities include coordinating with third-party vendors, managing accounts receivable and payable, processing payroll, and providing basic IT support. The role also involves supervising accounting staff and performing additional duties as assigned by the Executive Director.

Primary Responsibilities

  • Operational Efficiency: Overseeing organizational policies and procedures.
  • Vendor Management and Purchasing: Oversee the selection and coordination with third-party vendors such as phone, printer, internet, insurance, and IT companies. Purchase office equipment and supplies.
  • Financial Oversight and Reporting: Document and oversee all accounts receivable and payable.
  • Human Resources Compliance: Oversee payroll processing via QuickBooks, manage employee leaves, ensure compliance with federal and state regulations, and update employee handbooks and financial policies.
  • IT Support: Create and manage employee email accounts, set up new hires in QuickBooks, arrange direct deposits, and handle basic IT troubleshooting.
  • Supervising Staff: Supervise accounting clerk staff.
  • Additional Duties: Perform other duties as assigned by the Executive Director.

Preferred Education / Experience

The ideal candidate will have the following education and/or experience:

  • Education: Bachelor’s degree in Business Administration, Human Resources, Non-Profit Management, or a related field is preferred.
  • Experience: Minimum of 3-5 years of experience in operations or office management, preferably in a non-profit setting. Supervisory experience is preferred. Basic understanding of finance and budgeting processes is beneficial but not required.
  • Skills: Proficiency with QuickBooks and Bill.com or similar systems. Highly organized and detail-oriented.

Job Type: Full-time

Pay: $55,000.00 - $67,000.00 per year
