The Service Support Assistant is essential in aiding the service department by supporting service advisors with paperwork, greeting and tagging vehicles, and assisting in the coordination of valet staff. This role requires excellent organizational skills, strong communication abilities, and a proactive approach to helping the service team. Key Responsibilities: Assist Service Advisors:
Help service advisors with booking paperwork and routine administrative tasks.
Ensure all necessary documentation is accurately completed and organized.
Customer Interaction:
Greet customers upon arrival and direct them to the appropriate service advisor.
Tag and log vehicles accurately to track their progress through the service process.
Valet Assistance:
Aid in coordinating valet staff to ensure vehicles are moved promptly and efficiently.
Help monitor the location and status of vehicles within the dealership to minimize delays.
Vehicle Management:
Assist with the organization and placement of vehicles in the service lot.
Ensure that vehicles are ready for customers in a timely manner post-service.
Communication:
Facilitate communication between service advisors, valet staff, and customers to ensure clear and effective interactions.
Address any immediate customer concerns related to vehicle status and service progress.
Administrative Support:
Maintain an organized work environment, including the service reception area and customer waiting areas.
Assist with other administrative tasks as needed to support the service department.
Qualifications:
High school diploma or equivalent required.
Previous experience in a customer service or administrative role preferred.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
Proficiency with basic computer applications and dealership management software.
Must have a valid drivers license
Physical Requirements:
Ability to stand, walk, and move around the dealership lot for extended periods.
Capability to lift and move items up to 25 pounds.
Work Environment:
This position involves both indoor and outdoor work environments.
May require occasional weekend or evening hours depending on the dealership's needs.
