Hope Network is Hiring a Transportation Admin Support Assistant Near Grand Rapids, MI

The Transportation Administrative Support Assistant is a key associate at Hope Network whose primary responsibilities include:
Supporting the Transportation Administrative team by completing required reports, assisting with scheduling riders, and undertaking various departmental tasks.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
This is not intended to be an exhaustive listing of job functions.This job description is in no way states or implies that these are the only duties to be performed by this employee.The employee is required to follow any other instructions and to perform any other duties as assigned.
  1. Complete department reporting including:
    1. Monthly billing reporting for assigned areas;
      1. Review "No Show Report" to proactively correct billing issues.
    2. Calculating ridership, tracking rider and/or driver incidents and accidents, number of miles driven, and other metrics as necessary for assigned programs.
    3. Other reports as needed.
  2. Be the main point of contact for employers inquiring about new and existing riders for the Wheels to Work program.
  3. Send Wheels to Work Ridership reports to all employers as needed.
  4. Assist with route scheduling including entering new riders into the scheduling system and rearranging routes as necessary.
  5. Assist the dispatch team with answering radio and phone calls as needed.
  6. Track payments for cost sharing programs, assigning payments to correct programs and depositing funds as needed.
  7. Manage the department's petty cash, including reimbursing drivers for approved expenses, providing supporting documentation to the Accounts Receivable department, and cashing checks from the Accounts Receivable department to replenish petty cash.
  8. Order department supplies.
  9. Regular and predictable attendance is an essential function of the job.
  10. Other duties as assigned.
Educational / Talent Requirements:
  1. Minimum Education required: High School Diploma
  2. Ability to work well with a diverse group of workforce to support and maintain and excellent teamwork environment
  3. Ability to be self driven and demonstrate and exercise sound business decisions and judgment
  4. Excellent communication skills (oral/written) with the ability to listen, resolve, and negotiate appropriate problem resolution decisions
  5. Ability to build and maintain effective working relationships with community and agency personnel
  6. Ability to coordinate multiple priorities and change tasks as needed to meet the needs of the program
  7. Demonstrate strong computer skills using various system applications; i.e. MS Office, Solomon, Novus, and have the ability to learn new computer programs essential to the position.
  8. Demonstrate the highest level of professionalism, accountability.
Work Experience Requirements:
  1. 1 year experience working in an office environment with multiple responsibilities
  2. Experience with computer programs, especially Microsoft Excel
  3. Experience in billing processes and responsibilities
  4. Work with a number of group of people such as peers, supervisors, agencies, consumers
