POSITION SUMMARY
The Administrative Assistant position performs technical administrative level support work and expeditiously executes and oversees the completion of all assigned projects and duties for the Office of Community Partnerships and the Department of Community Resources & Services.
STARTING SALARY HIRING RANGE:
$27.88- $31.46
$57,984 - $65,441
CLASS DESCRIPTION
Performs senior technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative, technical and para-legal work providing staff assistance to various Boards; or administrative secretarial or constituent services work assisting the County Executive, the State's Attorney, the Chief Judge of the Fifth Judicial Circuit, Chief of Staff or the Chief Administrative Officer. Assumes responsibility for clerical procedures and office operations; maintains executive calendar and appointments. May supervise a support staff. Work at this level may include independent responsibility for a difficult and complex administrative or clerical process not requiring the attention of a professional or technical expert.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other related duties may be assigned.

General Administrative Support:

  • Provides administrative support to ensure efficient operations including but not limited to developing and maintaining a filing system; updating and maintaining office policies and procedures; handling and directing telephone and email inquiries in a timely manner; booking travel arrangements; and maintaining supplies for OCP Team (including ordering supplies, maintaining an inventory of supplies as needed, and keeping supplies organized).
  • Provides administrative support for meetings and events including but not limited to managing meeting logistics; scheduling assistance, room reservations, coordinate food/refreshments, sending/printing materials, set-up/breakdown, greeting attendees; and attending meetings to take attendance, recording accurate meeting minutes, and providing support-as assigned.
  • Updates the Office of Community Partnerships website as directed.
  • Coordinates the timely routing of Professional Services Agreement contracts for execution.
  • Assists as required at various Department functions and serves as back-up for other administrative staff upon request.
  • Participates in activities related to Emergency Management as requested, including working outside normal business hours.

Administrative Fiscal and Grant Support:

  • Provides administrative support with fiscal matters including but not limited to purchasing materials and process payments using procurement card (PDQ card); process assigned payments for execution (including entering payments into SAP, working with program staff to resolve any issues, saving and filing payment records); managing PDQ reporting for OCP expenses (track PDQ expenses, organize receipts, and submit PDQ reports as required), providing payment reports as requested; and responding to payment inquiries from vendors.
  • Provides administrative support with grant matters for the Community Services Partnerships (CSP) Program across the annual grant cycle including but not limited to Support CSP program staff in the review of grant applications; Support the development and maintain of an electronic filing system of CSP grant documents and resources including creating new grant files, maintaining active grant files, and closing-out grant files for prior grant year; Support the input and maintenance of information in the grant management software; Develop and maintain up-to-date contact lists and issue program communications as directed by CSP Program staff; and Independently respond to basic grant inquiries via phone and/or email.
  • Provides administrative support for grant award process including but not limited to tracking receipt of required documents, contacting grantees who are delinquent on submission of required documents, and facilitating the submission of outstanding required documents; populating information into grant award documents; and routing contracts for execution (including entering contracts into the routing system, tracking progress, providing progress updates as requested, working with program leadership to resolve any issues, and sending reminders to signatories.
  • Provides administrative support for grant reporting processes including but not limited to scheduling and sending report reminders prior to due date; tracking receipt of reports contacting grantees who are delinquent on report submission; and facilitating the submission of outstanding reports.
  • Provides support for grant disbursement processes such as scheduling internal payment reminders and conducting initial review of invoices as assigned.

MINIMUM REQUIRED EDUCATION/EXPERIENCE

Associate Degree and four (4) years related experience or equivalent combination of education and experience.

  • Demonstrated experience working with numbers and in databases.
  • Proficiency in virtual platforms and use of technology for human services delivery.

  • Ability to write routine reports and correspondence. Ability to speak effectively before customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
