The Loan Imaging and Member Bank Supervisor must ensure all work is completed within established SLAs by managing workload and addressing troubleshooting issues and requests. In addition, the Loan Imaging Member Bank Supervisor will be the primary point of contact for Member Bank requests and issue resolution and will coordinate and/or conduct Member Bank site visits.
ResponsibilitiesImaging Team Supervisor Responsibilities:
  • Monitors customer service quality levels to ensure prompt, efficient service.
  • Develops key performance indicators and SLAs for the team.
  • Serves as the escalation point for imaging and configuration issues for Member Banks and team.
  • Develops and delivers imaging user training for loan operations employees and member bank personnel.
  • Recommends and leads the implementation of imaging – related projects related to process improvements and technology.
  • Ensures and maintains user procedural manuals are up-to-date for all processes and procedures.
  • Approves and processes/denies requests for waivers on tracked document requirements.
  • Oversees upgrades and testing of the imaging systems.
  • Conducts random sampling reviews of configuration, imaging ticket maintenance, and queue to ensure work is being completed accurately and according to procedures.
Member Bank Responsibilities
  • Manages and tracks Member Bank issues, project dashboards, and the gathering of feedback.
  • Works in collaboration with the Loan Operations Management Team and Member Banks in coordinating and completing projects based on member bank feedback and site visits.
  • Manages Monthly Loan Ops Call and Annual Loan Ops Conference by creating agendas, coordinating planning and gathering feedback to disburse to team members.
  • Conducts on-site process reviews and works with bank personnel to ensure all loan processes and procedures are being followed through the entire life of the loan.
  • Completes annual E-Learning Plan and Bank Secrecy Act (BSA) training as assigned and keeps up-to-date knowledge of BSA as it relates to the job function.
Secondary & Nonessential Responsibilities
  • Performs other duties as assigned.
Supervisory Responsibilities
  • Directly supervises the Loan Imaging Specialists
  • Works with Heartland Financial’s recruitment team to hire the most qualified and talented individuals
to fill open positions.
  • Provides information and on-going feedback to department staff regarding expectations and performance.
  • Addresses and resolves all performance concerns and issues in a timely manner.
  • Works with department staff on individual professional development.
  • Prepares and conducts annual performance reviews. Completes and submits all forms associated with the review process to the department according to the review process deadline
Requirements1 Bachelor’s Degree in Finance, Accounting or Business-related field
2.5-7 years’ experience in Loan Operations.
3.1-3 Years’ Supervisory Experience Preferred.
  • Must possess a comprehensive knowledge of Consumer, Commercial and Ag loan structure and be able to identify the documentation requirements to complete the loan file, as required for the structure of the loan.
  • Extensive knowledge of required entity documentation for various business entities. (Corporations, LLC’s, Partnerships, etc.)
  • Comprehensive knowledge of proper collateral documentation needed to obtain and perfect all types of collateral.
  • Excellent understanding of government and specialty lending programs, as well as participated loans.
  • Strong problem solving and high attention to detail
  • Ability to work efficiently in a fast-paced environment.
  • Excellent verbal and written communication skills
  • Comprehensive knowledge of OnBase/Info Access
  • Proficient computer skills, including Windows, Excel, Word, and Outlook
