Position Summary / Job Description

Performs routine to moderately complex accounting activities associated with pre-and post-grant awards. Prepares related accounting reports in accordance with State regulations and established general accounting policies and procedures.
Essential Responsibilities
  1. Reviews and verifies pre- and post-grant accounts and subsidiary accounts to ensure strict adherence to all grant guidelines, compliance with funding and reporting requirements, and standard accounting and auditing practices and procedures:
    • Reviews various accounting transactions and documentation; e.g., purchase orders, check requests, travel reimbursements, cash receipts, supply expenses, payroll forms, stipends, etc., to interpret and monitor expenditures, ensure the availability and appropriation of all funds, and ensure compliance with budgetary constrictions;
    • Analyzes, reconciles, balances, and maintains accounting records. Properly utilizes the HRS and SIS systems to track fund activity, identify expenditure trends, and recommend and perform appropriate allocation and reallocation of funds to maintain all accounts;
    • Prepares journal entries, reconciles general ledger accounts, and completes the fiscal year-end closing process in accordance with the approved closing schedule;
    • Generates data and prepares various accounting reports for both internal and external review regarding the sources of revenue and use to ensure compliance with State, Federal, and grant reporting requirements;
    • Assist in the assessment of existing accounting systems on an ongoing basis to contribute to operating efficiency and overall cost-effectiveness of the accounting process.
  2. Effectively collaborates with grant award recipients and managers; e.g. SSSP, EOF, Director/Grants, etc., to answer questions or provide information regarding grant awards and the status of grant budgets.
  3. Projects a positive self-image of professionalism, appearance, confidentiality, courtesy, conduct, honesty, fairness, and personal integrity at all times.
  4. Performs other related accounting responsibilities, as required. Actively participates and/or manages special projects, as required. Remains flexible and adaptable in work schedules and work assignments as defined by College and departmental needs.

Required / Minimum Qualifications

A bachelor's degree in Accounting is required with a minimum of five years of prior accounting experience. Knowledge of accounting practices and procedures is required with a background in bookkeeping and auditing preferred. Knowledge of computerized information systems used in accounting/financial applications is required. Ability to analyze and interpret financial data and to independently prepare financial reports required. Effective communication, interpersonal, and organizational skills are required. Proficiency with MS Office software package required, particularly Excel.

Hudson County Community College was established in 1974 when the New Jersey Board of Higher Education approved the establishment of a community college commission in Hudson County, the first of its kind in the country.
