Huguenot Road Baptist Church is seeking a friendly, highly motivated, skilled administrative professional to lead the church office.
I. Job Purpose
The role of the Church Office Administrator is to provide support to the Senior Pastor and Pastoral staff and to provide a welcoming Christian image to congregants and visitors. This is accomplished by leading a well-organized and functioning church office including the organization and maintenance of digital/analogue information, internal and external communications and administration of building usage. The Office Administrator will also oversee church office volunteers and support church leadership.
II. Duties and Responsibilities
A. General Office Responsibilities
1. Along with office volunteers, ensure that all guests are greeted in a welcoming manner in keeping with the church’s Guiding North Star Statement: “Loving, Understanding and Empathizing with the community . . . and the World”.
2. In conjunction with the Communications Team ensure that all church communications (digital, social media and print) are accurate and on time.
3. Manage the flow and ordering of office supplies.
4. Facilitate and schedule building usage. Ensure that the electronic door system is properly programed to meet these schedules.
5. Act as liaison to Chesterfield County Parks & Recreation, associated Baptist organizations and non-church groups.
6. Maintain and communicate the church calendar.
7. Manage communications between staff and Properties Group representative regarding repairs, scheduling maintenance, usage, inventory, etc. for all designated church systems.
8. Provide administrative support for the Senior Pastor and other ministerial staff.
9. Oversee the church database in ChurchTrac,
10. Participate in weekly staff meetings and help communicate information pertaining to the church calendar, building usage, and other relevant information.
11. Oversee background checks relative to personnel involved in church activities.
12. Track church vehicle reservations. Ensure drivers haver proper documentation.
13. Coordinate the work of the Custodial team.
14. Provide administrative support for the Financial Assistant.
III. Qualifications
The Office Administrator is to:
A. Not be a member of Huguenot Road Baptist Church.
B. Demonstrate a high level of trust and confidentiality.
C. Be qualified for the work as shown by a degree in business or accounting, or Certified Church Administrator designation from the National Association of Church Business Administration, or 3 years’ experience working in office administration.
D. Demonstrate excellent interpersonal and leadership skills.
E. Display strong verbal and written communication skills.
F. Be detail oriented..
G. Possess a strong technology skill set for applications such as Microsoft 365, Google systems: MailChimp, Publisher, Canva, and social media platforms such as Facebook and Instagram.
H. Demonstrate the ability to operate standard office equipment as well as inter office web-based phone system.
I. Have the ability to direct volunteers that support the church office.
J Complete a successful background check initiated by the church.
IV. Working conditions
A. Work in a full-time, non-exempt position. Approximately 40 hours/week with some flexibility in schedule. Benefits provided in accordance with HRBC Personnel Manual.
B. Recognize that working with the HRBC team as a whole is essential to successful ministry. It is expected that this position work closely with other staff members and volunteers made up of team players.
C. Demonstrate a disciplined and diligent approach with time management.
D. Abide by HRBC’s Policies, including the Child Protection Policy.
V. Physical requirements
A. Be physically able to use a computer and other office equipment.
B. Be able to sit and/or stand for prolonged periods of time.
C. Be able to effectively communicate verbally and in writing.
D. Be able to participate in meetings and presentations.
E. Be able to lift 40 lbs.
