I-Clean Facility Services is Hiring an Administrative Assistant Near Chicago, IL

Job Title: Administrative Assistant

Location: Remote (Occasional In-person Meetings)

Position Type: Part-time (with potential for full-time)

Salary: $20 - $25 per hour

I-Clean Facility Services is a leading provider of commercial cleaning and facility services. With a commitment to excellence and customer satisfaction, we are looking to expand our team with a dedicated Administrative Assistant who will help support our growing operations.

Job Summary:

We are seeking a highly organized and proactive Administrative Assistant who is proficient in QuickBooks Online, work order management software, and scheduling. The ideal candidate will possess strong customer service skills, experience in accounts receivable, and be bilingual in Spanish. This part-time, work-from-home role is essential to ensure smooth administrative operations and excellent client relations. Occasionally, we will meet in person to review goals and tasks. This position has the potential to turn into a full-time role based on performance and business needs.

Key Responsibilities:

  • QuickBooks Online Management: Handle all aspects of QuickBooks Online including data entry, invoicing, billing, and financial reporting.
  • Work Order Management: Use work order management software to create, track, and close work orders efficiently.
  • Scheduling: Coordinate and schedule appointments, meetings, and service calls to ensure optimal use of time and resources.
  • Customer Service: Provide exceptional customer service by addressing client inquiries, resolving issues, and maintaining positive relationships.
  • Accounts Receivable: Manage accounts receivable processes including generating invoices, tracking payments, and following up on overdue accounts.
  • Administrative Support: Assist with general administrative tasks such as filing, data entry, and office organization.
  • Communication: Effectively communicate with clients, staff, and vendors in both English and Spanish.
  • Adaptability: Be prepared to handle a variety of tasks as this is a new position, and different responsibilities may arise.

Qualifications:

  • Proficient in QuickBooks Online.
  • Experience with work order management software.
  • Strong organizational and multitasking skills.
  • Excellent customer service and communication abilities.
  • Experience in accounts receivable.
  • Bilingual in Spanish and English (required).
  • High school diploma or equivalent; additional qualifications in Office Administration are a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
