Position: State Coordinator

Location: Indianapolis, IN 46204, USA (HYBRID)

Duration: 1-Year Contract (Contract to Fulltime)

Pay Rate: $27.00/hr.

Job Summary:

The incumbent designs, implements, coordinates, oversees, and provides technical support for all aspects of the CARES program in Indiana and works with other groups participating in the program to expand reach and participation.

Duties and Responsibilities:

  • Assist with data analysis in the CARES databases.
  • Work with CARES oversight staff to implement the CARES (Cardiac Arrest Registry to Enhance Survival) program in Indiana.
  • Provide training and oversight for participating communities to ensure consistency in data collection, auditing, and reporting processes.
  • Conduct outreach to potential project partners in local and regional healthcare, as well as community-based partnerships.
  • Collaborate with CARES oversight staff in generating reports and other data requests on schedule.
  • Coordinate communications and meetings with CARES partners and participating EMS agencies and hospitals.
  • Coordinate daily operational tasks needed for the maintenance of participating and future sites.
  • Troubleshoot database errors and software system issues.
  • Establish and coordinate the CARES data-sharing committee for the state and field requests for regional and state data.
  • Incorporate interpersonal skills in communication with stakeholder personnel, colleagues, and the public.
  • Collaborate with trauma system stakeholders including the Indiana Trauma Care Commission and EMS Commission.
  • Perform related duties as assigned.

Additional Responsibilities:

  • Disseminate information in the form of manuals, data definitions, publications, online meetings, telephone conference calls, and emails to maintain the data collection and review process for each participating EMS agency, hospital, and dispatch center in your state.
  • Communicate general findings and updates on CARES progress/development to key stakeholders and program participants.
  • Review essential information regarding an agency’s system configuration, determine the appropriate means of data collection, and conduct site-specific training sessions with EMS and hospital personnel.
  • Work with local system administrators to ensure compliance with data-entry schedules, resolve access/password issues, and update agency, hospital, and first responder accounts and information.

Job Requirements:

  • Experience with program coordination, particularly in a healthcare setting.
  • Experience working with emergency medicine departments.
  • Experience with large data files and analysis.
  • Experience working with people from different healthcare disciplines.
  • Strong communication skills, both written and oral.
  • Ability to work independently and in a team environment.
  • Experience with data and project management.

Education:

  • A bachelor’s degree in public health or a related discipline is required.
  • Computer proficiency with software applications, including MS Word, Excel, PowerPoint, and basic statistical applications.

Difficulty of Work:

  • The incumbent uses judgment in implementing guidelines based on the CARES program but also relies on the direction of CARES oversight staff and the Trauma and Injury Prevention Program Director.
  • The work is broad in scope and requires in-depth analysis of multiple variables to fit the various circumstances of a medium- to complex enterprise-wide system.

Responsibility:

  • The incumbent exercises professional judgment in situations requiring sensitivity and/or confidentiality.
  • Works closely with higher-level staff and/or management to outline general objectives and boundaries.
  • Uses own initiative in performing and implementing the CARES program and other data sets.
  • Work is reviewed by the supervisor for compliance with policy and agency program goals.

Personal work relationships:

  • Works with personnel within the agency and external stakeholders, including other state agency staff, EMS providers, hospital employees, and others, to implement the CARES program statewide.
  • Contacts are for the purpose of informing, gathering information, interpreting information, providing technical expertise, and coordinating workflow.
  • Contacts can involve persuading and negotiating to accomplish the mission while maintaining good stakeholder relations.
