IDOM USA is Hiring a Project Administrator/Analyst Near Mobile, AL

We are currently seeking an experienced, thorough, and insightful Project Administrator/Analyst for a construction project onsite in near Mobile, Alabama. Must be local to Alabama.

Job Description

In this role, you will be responsible for maintaining a controlled system of incoming and outgoing correspondence and documentation and must have the ability to understand workflow processes and create tracking and controls to support. This includes status tracking/expediting of documentation, including deviations that are controlled and traceable.

Job Responsibilities

  • Drives the execution and distribution of subcontracts, change orders, purchase orders.
  • Manages invoicing from contractors.
  • Communicates in a timely and professional manner with Project Managers on discrepancies or when input is needed.
  • Responsible for administrative functions such as word processing for Project Managers on correspondence and project paperwork. Preparation and distribution of printed materials for meetings.
  • Coordinates and attends weekly production meetings and project kick off meetings. Takes minutes and distributes minutes and updates milestone reports. Reviews project requirements and prepares internal questions / other items for discussion / clarification in client kickoff.
  • Assists Project Managers with submittals and ensures secure mailing and distribution through Procore.
  • Maintains project files and performs project file archival.
  • Maintains detailed paper and electronic filing systems, including subcontracts, PO’s, contact lists, contract logs, drawing lists, etc. within Procore.
  • Supports client/project security / background check process.
  • Supports project and corporate accounting effort through the processing of subcontractor/supplier invoices.
  • Supports data entry and document management.
  • Coordinates teleconference line calendars.
  • Supports set up of field offices providing proper compliance postings and safety / PPE.
  • Manages bond and insurance application and tracking processes.

Experience and Education Requirements:

  • High school diploma minimum, bachelor’s degree preferred.
  • Five (5) or more years of related experience.
  • Knowledge of A/E/C Industry and terms commonly utilized.
  • Knowledge of MS Office Suites and SAP is critical.
  • Proficiency in English including effective oral and written communication skills,
  • Ability to manage multiple, simultaneous, competing priorities relative to overall corporate, client, and project needs and success with limited direction/oversight.
  • Ability to interact effectively with all levels of the organization in a fast-paced environment.
  • Self-starter with ability to work in both team and individual environments.
