The Receptionist/Office Assistant will provide administrative support to the office and staff. Must be proactive, detail-oriented, and capable of handling a wide range of administrative tasks with discretion and professionalism. He/she will play a crucial role in ensuring the smooth functioning of our office and will be responsible for being the first representative of our company whether by phone or office.
Main Duties and Responsibilities:
? Manage all incoming calls
? Assist the senior leadership team with scheduling meetings
? Responsible for welcoming guests to the suite
? Responsible for meeting room setup
? Assist team with coordination and organizing meetings including preparing agendas, materials, and minutes.
? Manage office equipment; creating and keeping inventory of technology equipment and items signed out
? Manage office supplies inventory and keep items stocked
? Perform general administrative duties, such as filing, copying, scanning, and organizing documents.
Qualifications:
? Experience as an assistant or similar role preferred
? Have basic organizational and time management skills, with the ability to prioritize tasks effectively.
? Strong verbal and written communication skills, with attention to detail.
? Proficiency in Google Suite
? Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the
highest level of customer/client service and response
? Strong interpersonal skills and the ability to interact professionally with individuals at all levels.
? Adaptability and flexibility to accommodate changing priorities and deadlines.
? Professional demeanor and the ability to represent the team in a polished and professional manner.
? Tech-Savvy and the ability to learn new technologies quickly
