Job Description: Indirect Supply Chain Support Specialist

Overview: As an Indirect Supply Chain Support Specialist, you will ensure the timely and cost-effective procurement of goods and services, supporting the company’s operational success. This role involves continuous review and analysis of demand and supply, supporting sourcing strategies, and maintaining accurate procurement records. You will work with advanced technology products to seek maximum value for the company through time and cost agreements.

Job Summary: The Indirect Supply Chain Support Specialist ensures that the items and services required to build and maintain indirect company business services are purchased from specified suppliers and delivered according to agreed terms and conditions. This role focuses on maximizing value for the company and improving business processes using technology.

Essential Responsibilities and Duties:

  • Interface with the Purchasing Team to plan and prioritize purchasing activities.
  • Review planned orders, create requisitions for requested items, and manage the purchase approval process.
  • Transmit and prioritize approved purchase orders and supporting documents to suppliers.
  • Track order acknowledgements, prepare and communicate shortage and backlog reports, and provide visibility of potential interruptions to internal customers.
  • Track orders and confirm lead times, delivery dates, and costs.
  • Review, update, and maintain purchase orders until payment has cleared.
  • Ensure orders adhere to supplier agreements and contracts and report noncompliance.
  • Lead finance and logistics staff in resolving reception and invoice discrepancies.
  • Identify opportunities and implement actions to achieve efficiencies.
  • Contribute to the consolidation, reduction, and rationalization of the local supplier base.
  • Manage new vendor setups, vendor information updates, and coordinate supplier banking changes.
  • Process invoices for payment within the SAP VIM inbox.

Primary Activities & Responsibilities:

  • Update and maintain purchase orders (POs), including expediting, monitoring acknowledgements, resolving issues, and tracking shipments.
  • Coordinate with the floor team and suppliers on inventory management and program performance.
  • Engage with internal customers (Accounts Payable, Compliance, Logistics, Planners, Program Management) and notify programs of minimum order quantities (MOQ).
  • Resolve routine problems including invoice and billing issues, vendor inquiries, and tracking orders.
  • Monitor supply chain dashboards and perform reporting to support contractual responsibilities.
  • Secure and analyze quotations, negotiate pricing and terms with suppliers, and manage Incoterms and RFQs.
  • Manage new vendor setups, vendor information updates, and coordinate supplier banking changes.
  • Process invoices for payment within the SAP VIM inbox.
  • Provide onboarding training for new employees.

Qualifications:

  • High School Diploma required.
  • 3-5 years of related experience.
  • Industry experience preferred in supply chain, aerospace, or packaging.
  • Enterprise operations and systems experience, preferably transacting in SAP.

  • Keen attention to accuracy and self-accountability.
  • Solid interpersonal and electronic communication capabilities.
  • Natural curiosity to improve business processes using technology.
  • Competent in analytical skills, applied business knowledge, and communication.

  • Problem-solving abilities and process management skills.
  • Understanding of procurement processes, systems, supplier product quality, and supply chain requirements.
  • Beginner knowledge of product and process improvement methodologies (e.g., Six Sigma, Lean).
