Position Summary 

The Coordinator, Benefits will perform administrative tasks and services to facilitate human resource processes for all business entities. This role is responsible for administering employee benefits to include health/welfare and 401k plans, coordinates leave of absence in the HRIS system, assisting employees with benefits enrollment and questions, verifying and processing benefits insurance billing, maintaining employee database and files, and ensuring compliance with required benefit notices. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations.

Essential Functions 

  1. Processes disability and Paid Family leave claims.
  2. Assist with the administration of various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), worker’s compensation and wellness benefits.
  3. Reconciliation of insurance benefit statements.
  4. Communicates with payroll manager for all premium repayment schedules; informs payroll manager when exempt employees go on a leave of absence.
  5. Conducts weekly benefits teammate orientations and explains benefits self-enrollment instructions in the HRIS system.
  6. Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction.
  7. Responsible for verifying all insurance file feeds are error free. Troubleshoot potential errors and work with carrier and ADP to resolve errors.
  8. Coordinate workers' compensation claims with third-party administrator. Follow up on claims.
  9. Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices.
  10. Assist HR Benefits Specialist/Manager in completing benefits reporting requirements.
  11. Prepares care packages for employees on leave.
  12. Other duties as assigned.

Education and Experience

  • High school diploma or GED and a minimum of six months of experience in employee benefits administration and in a clerical/office environment.

Required Skills

  • Extensive knowledge of employee benefits and applicable laws.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient with Microsoft Office Suite or similar software.
  • Ability to speak Spanish preferred.
