General Statement of Duties:

The Medication Coordinator is the main point of contact for the assigned Physicians regarding the management of medications. Primary responsibilities include processing voicemail medication refill requests, online medication refill requests, task medication refill requests, prior authorizations for medications, chart triage for medication request, process. The Medication Coordinator generates inspect reports based on physician protocols, management of medication logs, and scheduling appointments if necessary prior to medication refills. The position serves as the primary liaison between Physicians and patients related to medication refills.

Essential Duties:

  1. The Medication Coordinator serves as the primary point of contact for assigned Physicians, private staff, and extenders for established patient inbound calls, voicemail, and online medication refill requests. Reviews and documents medication refill request multiple times per day, including checking messages left on the refill line or auto-generated refill emails from the OrthoIndy website. Follows established policies and protocols to process requests and obtain approval from the treating Physician. Requirements include chart triage, generating inspect reports, and reporting concerns to assigned Physician, documenting noted steps in Electronic Health Record (EHR).
  2. Supports timely EHR task message management, primarily related to medication refill requests. Coordinates other duties with department employees to ensure documentation and communication are accurate and timely.
  3. Follows established policy and protocol to process requests and obtain approval from the Physician. Requirements include chart triage, generate Inspect reports, and document details in EHR. The medication Coordinator is responsible for reporting all questions or concerns to the Physician immediately.
  4. Obtains insurance prior authorization for mediation refills, including submitting necessary clinical records to support the medication's medical necessity. Reviews clinical documentation and medical history information in EHR in order failed conservative treatment and current diagnosis.
  5. Coordinates and schedules appointments if required before medication refill.

Requirements:

  • High School Diploma/GED required
  • Specialty training beyond high school preferred; i.e. Medical office certification and/or some college
  • 2-4 years of related experience required
  • Pain management experience preferred
  • Related healthcare certification from one of the following: Certified Nursing Assistant license, Pharmacy Technician, Medical Assistant, Licensed Practical Nurse, or other preferred
