Summary of Position: The Spiritual Formation Office at Indiana Wesleyan University provides opportunities for students to explore, personally and corporately, the story of God, engage in worship, and empower one another to lead lives of spiritual vitality. The Spiritual Formation Office Coordinator encourages and facilitates spiritual life on campus by interacting with staff, faculty, students, and Chapel guests via face-to-face interactions, emails, and events. This student-facing role focuses on managing daily administrative tasks and ensuring smooth office operations. The Spiritual Formation Office Coordinator is involved in strategic planning and managing broad aspects of office and departmental functions, including logistics surrounding Chapel services, marketing materials, Chapel attendance, budget, and fulfilling various administrative duties in the Spiritual Formation Office.

This is a 10 month position.

Duties and Responsibilities

  • Chapel Service Logistics
    • Communicate with speakers including contracts, travel coordination, technical requests, check requests, etc.
    • Attend and contribute to production meetings
    • Assist in set design
    • Assist in maintaining semester chapel schedule
  • Supervise Student Workers (Connection Team)
    • Hire five student workers to assist with attendance tracking, office administration and SFO culture
    • Train, supervise, disciple and mentor the Connections Team
  • Chapel Attendance and Connections
    • Hire, Train, & Supervise the Connections Team
    • Track chapel attendance using the iAttended Platform
    • Update student accounts with reductions and exemptions
    • Update and enforce the Attendance Policy for IWU Spiritual Formation Requirement
    • Assist student accounts with reductions and exemptions
    • Communicate attendance standing
    • Maintain records for students on violation and probation
    • Work with the Discipleship Pastor to lead a Probation Workshop each semester
    • Communicate with Academic Advising and co-curricular leadership across campus regarding students on probation status
  • Communications
    • Hire, train and supervise a team of student workers to serve on the Communications Team
    • Lead a team that creates visual and written material to be shared via social media, email, and print about Chapel schedule, initiatives, and communications from the Spiritual Formation Office
    • Update and maintain the internal IWU Portal and the external IWU webpage
    • Update and maintain the IWU Chapel Youtube channel
  • Budget Oversight and Financial Processing
    • Review and submit operating budget requests as approved by Dean of Spiritual Formation
    • Approve and track budget spending
    • Reconcile office credit cards
    • Submit all accounts payable forms and documents - Manage student budget spending
  • Office Management
    • Schedule regular staff/student meetings including the Office Staff meeting agendas and minutes
    • Assist the Dean of Spiritual Formation with various scheduling and communication requests including the Spiritual Life Committee meeting agendas and minutes
    • Assist in calendar management for the Dean of Spiritual Formation
    • Maintain office supplies and hospitality supplies
    • Order name plates/badges for students and staff
    • Serve as Building Coordinator for the Chapel Auditorium including submission of facility reservation requests, submitting maintenance requests, and communicating with Campus Police regarding building access and safety/security issues
    • Manage chapel@indwes.edu email inbox
  • Team Responsibilities
    • Process and Maintain Confidential Information
    • Provide administrative support to SFO staff
    • Assist in student training week
    • Help plan SFO Team building events and activities
    • Mentor/disciple student workers and any other students as time allows
    • Participate on pertinent committees (i.e. SALT, Homecoming, NSO)
  • Miscellaneous duties as assigned

Education

  • Bachelor’s degree (or equivalent experience) required

  • Mentoring and Discipleship: this student-facing position must possess the ability and willingness to develop students in character and leadership.
