The Contract Administrator will assist division leaders with contracting work for land development and construction projects and at times, the CFO with accounts payable administration.
The duties and responsibilities of the position will include, but will not be limited to the following:
▪ Maintain and update vendor records
▪ Assist Director of Construction or Development Manager with monthly construction pay-apps
▪ Assist with monthly bank loan draws.
▪ Ensure all subcontractors have proper lien releases and insurance before submitting loan draw to bank
▪ Track and update vendor’s insurance certificates.
▪ Enter contracts in Yardi’s construction management module. Manage office mail, disperse accordingly and upload to server.
▪ Work with Division Leaders and Controller to maintain budgets in the construction management module.
▪ Assist with issuing change orders to contracts.
▪ Maintain required records, reports, and files in an organized manner
▪ Assist Controller with account payable tasks including routing invoices for approval through Yardi system, correspondence with vendors, research and resolving account status
▪ Special projects as needed to support department and Company objectives
▪ Assist the Phoenix and Las Vegas office with administration needs as required.
▪ Notarize documents as needed (Company will pay for employee to become a notary if not already licensed).
SKILLS & EXPERIENCE REQUIRED
▪ 3 Years of prior contract administrator experience is required.
▪ 2 years of construction industry experience is strongly desired.
▪ Yardi accounting software experience is strongly desired.
▪ Strong analytical abilities.
▪ Excellent written and verbal communication skills.
▪ Proficient with Microsoft Office Suite, particularly Word and Excel.

EDUCATION
Bachelor’s Degree is preferred but not required.
