Indigenous Conservation Council of the Chesapeake Bay is Hiring an Administrative Specialist Near Washington, DC

Job Summary

We are seeking a detail-oriented and organized Administrative Specialist to join our team. The Administrative Specialist will be responsible for assisting with various administrative and accounting tasks, including meeting planning, data entry, processing transactions, and reconciling accounts. The ideal candidate will have a strong understanding of accounting principles, good interpersonal skills and excellent computer skills and live in the VA, Washington DC, or Maryland area to promote good communication and team building with this remote position.

Administrative

  • Handle incoming correspondence from the general public
  • Provide administrative and clerical support to staff and Board of Directors including meeting logistics and compiling board materials
  • Display strong written and verbal communication skills, with keen attention to detail
  • Processing incoming and outgoing mail 

Accounting 

  • Processing and monitoring incoming payments
  • Credit card reconciliations, 
  • Generating invoices, bills payable, bank deposits, and account statements via Quickbooks
  • Processing accounting payable and incoming payments in compliance with financial policies and procedures
  • Processing, verifying, and posting receipts for services rendered
  • Verify and resolve any billing issues
  • Performing account payable reconciliations
  • Track company credit card charges, including payment discrepancies, refunds, returns, fair credit practices, collection regulations and miscellaneous charges
  • Be proficient in payroll, monthly payroll tax deposits, quarterly tax reports to federal, state and annual W-2's & W-4's. 
  • Prepare monthly budget monitoring reports, bank reconciliations, trial balances, and balance sheets for the Board of Directors.
  • Accounts receivable functions such as reviewing and filing customer information, setting up new customer, invoicing, and collection
  • Document daily collections activity
  • Assist with preparation for annual audits
  • Handle any other duties as required and assigned by the supervisor

Qualifications

  • An Associate’s Degree or higher in Accounting/Business specialization
  • 3-5 years of working experience in accounts payable and accounts receivables 
  • Solid understanding of basic accounting principles, fair credit practices, and collection regulations
  • Hands-on experience in operating spreadsheets and accounting software (Quickbooks)
  • Proven ability to calculate, post and manage accounting figures and financial records
  • Data entry skills along with a knack for numbers
  • Experience with grants compliance reporting a plus
  • High degree of accuracy and attention to detail
