The PMO Coordinator reports to the Director of Service Delivery and liaises with the Executive Team, Program Management, external accounting/administrative vendors and other department staff to complete tasks related to service delivery, corporate certifications (CMMI, ISSO, etc.), contracts & pricing and HQ Administration. This role is responsible for helping to establish efficient, consistent and effective PMO processes to include project/program management, billing and invoicing, ODC cost management, timekeeping system administration, and project budgets and forecasting.
JOB FUNCTIONS & RESPONSIBILITIES:
Operational Governance:
- Working with the Director of Service Delivery, support efforts to establish the Program Management Office (PMO) in alignment with Project Management Institute (PMI) and Capability Maturity Model Integration (CMMI) guidelines, processes, quality standards, and company requirements
- Develop, implement, and govern program management processes, dashboards, templates, policies, and metrics
- Seek Service Delivery efficiencies to meet or exceed financial expectations established at project initiation
- Oversee resource planning with Director of Operations and/or PMs to ensure labor utilization in line with project objectives
- Oversee and coordinate training for the PMO and Service Delivery employees
- Document project control requirements as they relate to the PMO, program managers, and the accounting team
- Monitor compliance with project policies and standards
- Coordinate project deliverables with program managers and subcontractors in direct and indirect reporting structures
- Interface with executives to define project priorities, opportunities, challenges and communicate project risks
- Hold PMs accountable and assist them with preparing their Quarterly Project Reviews (QPRs) and manages the process, to include scheduling and quality assurance
- Supports monthly and ad-hoc project management meetings, at times chairing events in lieu of the Director of Operations
Project Control Administration:
- Works with Director of Contracts & Pricing to support contract-related financial processes, to include invoicing and monthly project forecasting
- Serves as a primary Unanet administrator and helps manage projects and user profiles in Unanet, to include project setup and maintenance, assisting with training requests, timesheet reconciliations, and expense reporting
- Manages ODC budgets and associated processes/procedures (i.e., inventory, materials purchases, billable travel, etc.)
JOB REQUIREMENTS & EXPERIENCE:
- Bachelor’s Degree with strong academic background in business administration and operations
- Minimum of 4 years’ experience in Project Management and Operations in support of an IT Services organization
- Project Management/PMO/Administration experience in direct support of a company in the GovCon industry
- Demonstrated experience establishing, implementing and monitoring KPIs/metrics/SOPs in accordance with industry standard frameworks (CMMI, ISO, PMI)
- PMP Certification is highly preferred
- Ability to maintain and enforce established standards/practices; must be able to hold internal/external stakeholders accountable
- Financial management experience in a government contracting environment
- Unanet (company’s time and expense system) experience is required
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Expert level written and verbal communication skills, with the ability to effectively interact with all levels of management, coworkers, customers and the general public
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
