Indotronix International Corp is Hiring a Human Resources Compliance Coordinator Near Rochester, NY

Indotronix-Avani is a family of companies that offers personalized software solutions and staffing services to a variety of Fortune 500 companies. We are currently seeking a Human Resources Compliance Coordinator in our corporate office, located in Rochester, NY.

Position Title: Human Resources Compliance Coordinator

Reports To: Chief Operations Officer

Department: Operations

FLSA Status: Exempt

Purpose: The Human Resources Compliance Coordinator works closely with all Operations teams, including the Finance, Human Resources, Legal, and Immigration teams, in the administration of compliance management, ensuring ongoing compliance with client policies and procedures, and applicable federal, state, and local regulatory requirements.

Responsibilities:

  • Provide guidance and support to management in assistance of achieving operational objectives.
  • Ensure legal compliance by implementing applicable procedures and policies for local, state, and federal requirements including, but not limited to EEO, Affirmative Action, FMLA, HIPAA, DOT Drug Testing, and OSHA processes and postings, etc.
  • Serve as subject matter resource on compliance topics.
  • Provide both strategic and hands-on Generalist support; to include employee relations, onboarding, training, benefit administration, unemployment, payroll, compensation, and safety.
  • Understand business priorities; be an effective, trusted, and credible advisor to people at all levels within the organization for HR and Operations related matters.
  • Assist in administering and implementing compliance management policies and procedures; coordinate and help prepare compliance reports for management, clients, and government agencies.
  • Provide timely, proactive, and accurate day to day compliance support.
  • Assist with gathering, analyzing, and reporting HR metrics.
  • Maintain accurate and up-to-date human resource files, records, and documentation, while protecting confidentiality.
  • Answer frequently asked questions from applicants and employees relative to standard policies, benefits, and hiring processes.
  • In partnership with the HR Manager, monitor leave of absences, disability, PFL, and FMLA requests.
  • Periodically audit HR files and records to ensure all required documents are collected and filed appropriately. (Shared)
  • Administer benefit enrollments. (Shared)
  • Ensure that any changes to an employee’s position or benefits are recorded across all platforms. (Shared)
  • File and follow up on all workers’ compensation and unemployment claims. (Shared)
  • Compiles HR and safety reports. (Shared)
  • Assist with planning and execution of events such as benefits enrollment, organization-wide meetings, and employee recognition events. (Shared)
  • Assist HR Manager with tracking leaves and absenteeism and track/collect benefit payments from employees as needed during leaves.
  • Implement efficient usage of payroll and human resources technology.
  • Identify, manage, and execute potential enhancements to existing processes to improve productivity, quality, communication, and teamwork.
  • Contribute to the success of the team by sharing best practices.
  • Assist HR Manager in promoting company core values and fostering a positive culture.
  • Participate in special projects, as needed.
  • Participate in recruiting, screening, and recommending department candidates for interview and employment.
  • Assist HR Manager as needed.

Requirements:

  • Familiarity with federal and state employment laws and regulations and ability to apply them in a practical setting.
  • Ability to manage multiple priorities and meet established deadlines.
  • High ethical standards and ability to maintain a high degree of discretion and confidentiality.
  • Good judgment and analytical ability to identify trends, interpret data, conduct root cause analysis, and apply findings to workflows to deliver timely, accurate, and proactive compliance guidance and advice.
  • Excellent organizational skills, attention to detail, and ability to operate with a high level of accuracy.
  • Highly developed communication skills, both verbal and written, with the ability to interact positively with a wide variety of individuals.
  • High level of emotional intelligence, with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Must be able to thrive in a fast-paced, high-volume environment.
  • Ability to manage change and ambiguity. Flexibility is the key to success in our organization.
  • Sound leadership skills (self-starter, results driven, etc.) with the ability to balance multiple priorities with time sensitive deliverables.
  • Multiple site Human Resource oversight experience a bonus.
  • Proficient with Microsoft Office Suite software.
  • Education: Bachelor’s degree in Human Resource Management, Business Management, or a related field preferred; Associate degree required.
  • Certifications: PHR or SHRM-CP preferred.
  • Prior Experience: 2 years Human Resources, Legal, or Operations Compliance.

Physical Requirements:

  • Able to regularly sit for prolonged periods of time.
  • Extensive computer usage is required.

Job Types: Full-time, Part-time

Pay: From $50,000.00 per year

Expected hours: 20 – 40 per week
