Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. Duties
- Handle incoming and outgoing correspondence, ensuring timely responses and accurate information dissemination.
- Maintain organized filing systems and assist with document preparation, including proofreading materials for accuracy.
- Utilize office management skills to coordinate schedules, meetings, and appointments for team members.
- Operate phone systems efficiently, directing calls to appropriate personnel and taking messages as needed.
- Act as the primary point of contact for clients, ensuring they are kept informed and up-to-date on the progress of their architectural design projects. This includes addressing inquiries, providing status updates, and managing expectations.
- Collaborate with project managers and design teams to gather updates on project timelines, milestones, and any changes or revisions that need to be communicated to the clients.
- Arrange and participate in regular client meetings to review project developments, provide design progress reports, and discuss any adjustments or feedback.
- Ensure all client communications and project updates are documented accurately and efficiently, creating a clear record of project history.
- Address client concerns, proactively identify potential issues, and work with the design team to provide solutions that align with both client needs and project goals.
- Communicate effectively with team members and clients, providing information in both English and Spanish when required.
Qualifications
- Proven experience as an administrative assistant or in a similar clerical role is preferred.
- Strong proficiency in office software applications (e.g., Microsoft Office Suite, Google Workspace).
- Excellent phone etiquette with strong verbal communication skills.
- Attention to detail with exceptional proofreading abilities.
- Familiarity with office management procedures and best practices.
- Experience working in a front desk or receptionist capacity is a plus.
- Ability to type efficiently with accuracy.
