JOB SUMMARY:
Working under the direction of an Account Executive, or branch/team leadership, and following established industry and company guidelines, assists all branch/team personnel in narrowly defined sales tasks. Meets all performance requirements regarding production and quality, ensuring that no errors or omissions occur. Supports the day to day quoting and issuing of commercial lines insurance for call-in clients, customer referrals, and company/agent referrals. Capable of resolving low to moderately complex customer service problems. Responsible for devising creative solutions to meet client needs as to coverage and costs.
ESSENTIAL FUNCTIONS:
  • Actively gathers client information/data on the client to establish a client account in the data management system and/or rating system. Inputs data into the agency management system
  • Primarily provides support for the New Business Team
    • Sets up the New Business Checklist
      • Enters data, documentation.
    • Sets up client account in the agency management system.
    • New Business follows up with:
      • Underwriting
      • Memos from carriers
      • Form completions per carrier request
    • Makes calls to carriers to seek out possible markets for unusual risks per the Account Executive's request.
  • Assists with the processing of:
    • Ordering Loss Runs
    • Ordering MVR's
    • Issuing Auto ID cards
    • Issuing Certificates of Insurance
    • Policy Checking
    • Policy/Binder Delivery
    • Invoices and payments
  • Actively seeks to grow IOA business, including identifying and acting on sales opportunities.
  • Proactively anticipates client needs, maintaining frequent and professional client communication via email, mail, or telephone, and responding quickly to any service requests.
  • Crossed trained as back-up for teammates as needed.
    • Covering for others in their absence and ensuring overall team service excellence
  • Enters data and maintains agency management system, other agency supported systems and carrier/vendor online platforms. Ensures all data entered is complete, clearly presented and well documented, accurate, and up to date.
  • Monitors and maintains activity/suspense, taking the required action to ensure completion within the required time frame.
  • Maintains frequent, transparent communication with account team regarding individual, and team, client service, and policy administration activities. Ensures that the account team is fully informed of workload status, questions and/or any errors, discrepancies or changes related to assigned duties and tasks.
  • Delivers excellent service at all times, including proactively anticipating needs, maintaining frequent and professional communication, and responding quickly to service requests.
  • Continually stays abreast of all company policies and procedures to ensure proper knowledge, execution, and compliance of standard operating procedures.
  • Continually seeks to improve individual and team performance, including identifying, communicating, and adopting best practices.
  • Lives and champions IOA core values at all times, demonstrating the highest level of personal character, integrity, and servant leadership.
  • Actively promotes IOA culture and a positive work environment at all times.
  • Regular and consistent attendance is expected and a necessary component of the job.
  • Will be required to maintain Continuing Education credits to maintain an active status level of insurance licensure.
  • Demonstrates a strong work ethic, positive attitude, and willingness to assist others at all times.
  • Performs other duties as assigned.
NON-ESSENTIAL FUNCTIONS:
  • General office support/administration when requested or assigned.
  • Back-up for teammates as needed, covering for others in their absence and ensuring overall team service excellence.
  • Participates in training, mentoring, and ongoing professional development of administrative and customer service teams and/or new hires.
  • Ensures professional skills are continuously improved by actively participating in internal/external development opportunities.
  • Lifting and carrying large equipment/boxes over 25 lbs.
  • Bending and stooping to utilize necessary office equipment.
  • Participating in team building and other activities
QUALIFICATIONS AND EXPERIENCE:
  • Minimum of a 4-40 or above insurance license or state required P&C license.
  • 2 years of commercial lines insurance experience preferred.
  • Excellent organizational and multi-tasking skills
  • PC proficiency, including basic knowledge of MS Office
  • Must be able to work in a team environment.
  • Customer service skills
  • Outstanding verbal/written communication skills
  • Exceptional personal character
  • College degree desirable
  • High School Diploma (or equivalent)
PHYSICAL DEMANDS:

  • Work is performed in a temperature-controlled office environment or travel via vehicle.
  • While performing the duties of this job, the employee is required to walk, sit, and stand at various intervals throughout the day.
  • The employee will occasionally lift and or carry up to 25 lbs.
  • Employee may use computer, phone, copier, and other office equipment in the course of a day.
  • While performing the duties of this job, the employee is occasionally required to use hand to handle, touch and use tools, reach with hands and arms, bend, stoop, twist, lift, reach, push, pull, grasp, balance, talk, hear, and ambulate during the course of employment.
  • Specific vision ability required by the job include close vision, distance vision, peripheral vision, depth perception and an ability to adjust focus.
  • Employee may be required to travel for business purposes.
