Job SummaryThe Payroll Tax & Compliance Specialist will be responsible for all tax management, employee worksite
assignment, and identifying all federal, state, and local compliance changes related to payroll. This position requires independent judgement of decisions made. Reports to the Payroll Director with a dotted line to the Lead Payroll Administrator.
What You’ll Do:
  • Tax Account Management: Opening and closing state and local withholding and unemployment tax accounts for our multi-EIN and multi-state organization. Communicate with payroll and tax TPA, and state agencies on tax related matters. Validate tax documents and filings for compliance.
  • Tax Reconciliation: Performs pay period, quarterly and annual reconciliation of payroll register. Audits W2 records before finalization.
  • Review and approve employee W-4 and state tax withholding forms.
  • Responsible for assigning workers compensation codes to employees per work state, entity, and job description. Prepares and submits quarterly wage reports to carrier for premium calculation and payment. Does the same for the annual premium audits.
  • Review and implement data in HRIS regarding the employee Hybrid Workplace Models. Provide reporting to leaders.
  • Approve address changes and identify potential effects on employee taxation and WCC.
  • Prepare or assist with Multi Work State Reports & BLS reports, US Census, Reports of Organization, and other reports as needed.
  • Review weekly federal, state, and local publications and notices that affect employment law and pay providing summarized information to HR and Payroll leadership for consideration of changes. Communicates with employees on tax changes, etc.
  • Responsible for quarterly audit of federal and state minimum wage and minimum salary requirements.
  • Process new hire, status change requests, and termination exit paperwork as needed.
  • Participate with other team members in the processing of the biweekly payroll.
  • Responsible for the Payroll Tax email inbox, incoming/outgoing mail, and primary contact with tax system.
  • Cross trained to back up the Payroll Coordinator role.
  • Live and champions IOA core values at all times, demonstrating the highest level of personal character, integrity, and servant leadership.
  • Regular and consistent attendance is expected and a necessary component of the job.
  • Requires frequent visits to the Longwood office for receipt and distribution of payroll department mail.
  • Perform other duties as assigned.
What We’re Looking For:
 Demonstrated knowledge of federal, state, and local pay laws and tax management is required.
 Recent payroll knowledge as a multi-state employer is required.
 Must be computer savvy with intermediate to advanced Excel skills, cloud-based payroll software experience, and experience in payroll report creation & formatting.
 Must have these attributes to be successful in the position: excellent time management skills, ability to prioritize workload, work independently, self-starter, inquisitive, team player, handle responsibility of highly confidential information, detailed oriented, accurate and able to focus on priorities to adhere to tight deadlines, calm under pressure.
 Ability to listen and communicate (verbal/written) and follow-up effectively with employees, managers, and executives.
 Above are the essential qualifications of the position and attributes to be successful. A college degree in business or accounting is preferred by not required. Five years of payroll experience related to the essential functions is required for this position. FPC or CPP required.
