Job Summary of the Accounts Payable Specialist position
Integr8staff seeks an experienced Accounts Payable Specialist to oversee the (A/P) accounts payable process, ensuring accurate and timely processing of invoices, payments, and expense reports. This role will involve mentoring junior staff, resolving complex matters, and collaborating with other departments.Responsibilities of the Accounts Payable Specialist position
Review, verify, and process invoices and payment requests in compliance with company policies and procedures.Ensure all invoices are coded correctly and match purchase orders and receipts.Schedule and prepare payments (checks, ACH, wire transfers) and ensure timely disbursements to vendors and suppliers.Reconcile accounts payable transactions and resolve discrepancies.Review and process employee expense reports in accordance with company policies. Ensure accurate and timely reimbursement to employees.Provide guidance and support to a team of accounts payable representatives and lead and mentor training sessions to improve team performance and efficiency.Maintain positive relationships with vendors and suppliers.Address and resolve vendor inquiries and disputes promptly and professionally.Prepare and analyze accounts payable reports for management.Assist in month-end and year-end closing processes, including accruals and reconciliations.Ensure compliance with internal controls, company policies, and regulatory requirements. Participate in internal and external audits as required.Performs other duties and responsibilities as assigned.Requirements of the Accounts Payable Specialist position
An associate or bachelor’s degree in accounting or a related field are preferred.5 years of experience in accounts payable or a similar role, with demonstrated leadership and mentoring abilities in previous roles.Strong understanding of accounting principles and accounts payable processes.Proficient in accounting software and Microsoft Office Suite (Excel, Word, Outlook).Excellent organizational and time management skills.Strong analytical and problem-solving abilities.Effective communication and interpersonal skills.Ability to work independently and as part of a team.Experience with ERP systems (e.g., SAP, Oracle).Certified Accounts Payable Professional (CAPP) or similar certification.
