General Purpose of the Position :
Provide assistance in the oversight and management of assigned CareerSource Broward Center. Incumbent serves as a subject matter expert in one or more funding streams, has day-to-day operational responsibility for facilities of the center, and supervises designated staff. Serve in the capacity of Interim Center Manager in the absence of the Center Manager. Position requires in-person interactions with customers. Work is performed onsite at a physical location of CSBD .
Essential Responsibilities and Duties :
- Assist the Center Manager with the day-to-day operations and oversight of the CareerSource Broward Center.
- Coordinate all of the Centers HR related activities including submitting recommendations for hire / termination, assisting with staff evaluations and counseling / disciplinary action.
- Serve as Center’s primary contact for the coordination, implementation, and resolution of all facilities related issues for the Center.
- Review and ensure the submission of appropriate documentation of staff hours is accurately and timely provided for payroll processing.
- Assist in ensuring that the staffing agency’s invoices are reviewed, analyzed, and verified on a timely basis.
- Review and ensure that customer concerns and complaints at the Center are handled in a timely and satisfactory manner.
- Review and analyze assigned funding stream performance against established standards.
- Prepare gap analyses with staff and recommend strategies to improve and enhance performance.
- A nalyze systems and make continuous improvement recommendations to Center Manager.
- Prepare a variety of weekly, monthly, annual, and bi-annual reports as needed t o report progress towards goals.
- Coordinate, m onitor, and guide assigned staff to ensure that they are meeting or exceeding performance requirements to help people to get jobs and attain self-sufficiency .
- Assist in the coordination of staff schedules to ensure continuous coverage of the center during established operational hours, including extended hours and that all services are delivered in accordance with CareerSource Broward policies and procedures.
- Monitor customer case files for various programs files for appropriate documentation, accuracy of paperwork and provision of timely and appropriate services to clients.
- Work closely with Program Managers and Center Manager to ensure that all operations and programmatic issues are addressed.
- Develop and demonstrate expertise in assigned subjects such as Workforce Innovation and Opportunity Act (WIOA), Wagner-Peyser, Supplemental Nutrition Assistance Program, Welfare Transition, Veteran’s Programs, etc.
- Stay abreast of changes in assigned subject matter and all federal and state policies and regulations regarding a variety of CareerSource Broward administered programs, and provide assistance to Center staff as needed.
- Coordinate center activities with other support services agencies in the county.
- Research programmatic issues as necessary. Analyze data generated by the Employ Florida, OSST and other systems utilized at CSBD.
- Attend meetings representing CareerSource Broward to outside organizations, agencies, and the media.
- Ensure proper coordination of referrals to training opportunities such as ITAs, OJTs, and Customized Training, including timely requests for funding for these activities.
- Supervise, evaluate, develop goals with, and oversee the activities of direct reports and other personnel involved in delivering services in the CareerSource Broward Center.
- Conduct an annual survey of the inventory of center equipment and materials. Ensure security and accountability of center equipment and supplies.
- Communicate with coworkers, management, staff, clients, and the general public in a courteous and professional manner. D emonstrate appropriate professional judgment in all communications.
- Respond promptly to telephone, correspondence, emails, faxes, and requests for information from a wide variety of individuals, groups, organizations, and governmental entities.
- Participate in agency’s quality improvement initiatives by continually focusing on strategic planning and improving customer service.
- Conform with and abide by all regulations, policies, work procedures, and instructions.
- Represent the center and CareerSource Broward at community meetings and ensure current information on community services is available at the center. Attend a wide variety of agency internal meetings .
- Perform other duties as assigned.
