Job Summary:
We are seeking an assertive and confident Sales Coordinator to join our dynamic team. The ideal candidate will provide proactive communication with both customers and vendors, ensuring timely and precise reporting. This role requires an employee who is responsible for a range of tasks including preparing vehicle registration and licensing, creating customer invoices, and maintaining accurate sales files.

Key Responsibilities:

1. Vehicle Registration and Licensing:
   • Prepare and manage all documentation for vehicle registration and licensing.
2. Customer Invoicing:
   • Create and manage customer invoices with accuracy and attention to detail.
3. Customer Communication:
   • Provide deposit receipts to customers.
   • Communicate estimated delivery dates.
   • Explain licensing, registration, and payment requirements in detail.
4. Vendor Communication:
   • Accurately and completely fill out and provide purchase orders to vendors.
   • Share VIN and estimated chassis arrival dates with body vendors.
   • Obtain and update expected body mount completion dates from vendors.
5. Timely Reporting:
   • Provide accurate and timely reports as required.
   • Maintain accurate and up-to-date truck sales files.
6. Sales Process Adherence:
   • Ensure salespeople provide complete and accurate “New Unit Checklist” before issuing purchase orders.
   • Review and understand internal cost sheets.
   • Register new vehicle warranties with vendors.
7. Basic Accounting/Administration Functions:
   • Learn to create purchase orders.
   • Learn to print cost sheets.
   • Learn to create cost accruals.

Qualifications:

• Proven experience in a sales coordination or similar role is desirable but not required.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Detail-oriented with strong analytical skills.
• Proficiency in basic accounting functions.
• Ability to work independently and as part of a team.
• Assertive and confident in handling various tasks and responsibilities.
