About the Role

As Associate, Operations and Client Support, you will play a crucial role in supporting investment operations. Your primary focus will be on delivering exceptional day-to-day support to both our external clients and internal distribution team. We’re looking for someone with a strong service orientation and a genuine passion for resolving issues and inquiries with efficiency and precision.

In this role, you’ll have the opportunity to enhance systems and processes, making our operations more effective and streamlined. Your ability to communicate clearly and maintain strong relationships with clients and vendors will be key to your success, ensuring that we continue to deliver top-tier service across the board.

Location: Vancouver, BC (hybrid – 3 days in office)

Key Accountabilities

  • Process transfers out and re-registration requests according to service level agreements
  • Process receipt of physical securities with competing deadlines and SLA obligations
  • Initiate Re-registration process for negotiable certificates which are to be held in our Canadian depository
  • Manage and update registration and maintain book of record around client transitions 
  • Provide operational support for Broker Dealers in US and Canada that are related to re-registrations
  • Responds to daily inquiries from clients and resolves issues using department protocols, tags complex inquiries for further guidance, and escalates as necessary.
  • Supports analysis of complex transactions and reporting on an as-needed basis timed with business cycles including closings.
  • Identifies and investigates inefficiencies/gaps in internal and cross-functional controls, monitoring procedures, reconciliations, and reasonability checks, and collaborates to resolve them.
  • Investigates reporting discrepancies and assists to determine appropriate course of action in a timely manner, prepares documentation to support reviews conducted and demonstrates adequate processes and controls.
  • Adheres to internal policies and procedures, financial controls, regulatory and reporting requirements.
  • Works collaboratively with other team members and departments to ensure seamless processes, accurate data, and great customer care for investors, including communication with clients regarding their investments.
  • Handle special projects or the assignments as requested
  • Monitors ZenDesk log escalations and ensures they are completed in a timely and professional manner.

Qualifications

  • University degree in business or other relevant discipline
  • 2 years’ experience in a related role within the financial services and/or investment industry
  • Ability to establish and follow procedures relating to policy, regulations, and processes effectively.
  • Ability to research and synthesize large amounts of information, clarify, and provide value add insights using a variety of tools.
  • Highly organized with the ability to prioritize and manage multiple priorities and stakeholders with a great positive and service-oriented attitude.
  • Proven attention to accuracy and detail, evidence of high numeracy ability and passion to get to root causes of issues and resolve them.
  • Self-motivated, flexible, and adaptable in both resolving urgent issues and progressing with longer term project-based work.
  • Demonstrated good judgment and professionalism, exemplifies our values.
  • Strong communication skills (verbal and written) and interpersonal skills; ability to foster effective working relationships internally across the organization and externally, high customer orientation.
  • Ability to readily adapt to a rapidly changing environment and be a quick learner.
  • Eligibility to travel between Canada and the United States for occasional meetings.
  • A Criminal Record Check and Credit Check is required for this position.

Salary & Benefits 

  • Actual salaries may vary based on factors, such as skill, experience, location and qualifications for the role.
  • 2024 range is $65,000 - $80,000 CAD plus incentive plan and equity.
