Description

The Role:

Reporting directly to the Facilities Services Manager, the Front Office Coordinator plays a crucial role in creating a positive and welcoming environment for visitors. The primary responsibilities include greeting clients, managing incoming calls, and performing basic administrative tasks to ensure the smooth operation of the office.

Essential Duties & Responsibilities:

  • Greet and welcome visitors with a friendly and professional demeanor; ensure a memorable first impression.
  • Answer incoming calls, directing callers to the appropriate person or department; provide information about the company as needed. 
  • Manage and organize office supplies, placing orders as necessary.
  • Maintain cleanliness and organization of common areas; restock restrooms, kitchen, and break areas.
  • Relay important messages to the relevant team members promptly.
  • Assist in the coordination of meetings and onboarding new employees.
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Performs other related duties as assigned. 

Requirements

Required Skills and Abilities:

  • Advanced verbal and written communication, and organizational skills. 
  • Proficient with Microsoft Office Suite or related software.
  • Engaging and welcoming personality, fostering a positive atmosphere in the workplace.

Education and Experience:

Previous experience in a similar role preferred.

Physical Requirements:

  • Duties performed in an office environment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Inputs data with repetitive motion (typing).
  • Must be able to lift up to 10 pounds at times.
