Job Title : Hospital and Partner Relations Assistant

Location : North Liberty, Iowa

Exemption Status : Salary, Non-exempt

Schedule: 40 hours/week

Shift: 8am-4:30am

Position Summary:

Responsible for performing and managing the administrative needs of Hospital and Partner Relations and the Promote the Gift work system and serving office visitors.

Essential Functions and Performance Responsibilities:

A successful Hospital and Partner Relations Assistant will:

  1. Complete routine administrative office functions.
  2. Complete donation case follow up letters.
  3. Provide support for the Hospital and Partner Relations Team that is included but not limited to:
    1. Pulling data
    2. Compiling and preparing reports
  4. Serve office visitors.
  5. Develop and maintain positive relationships with vendors, staff, and community partners.
  6. Provide support for Philanthropy, Strategic Communications, and Finance.
  7. Function as committee co-chair in the planning for biennial Donate Life Conference
  8. Manage supply inventory.
  9. Support organizational Wellness Program initiatives.
  10. Serve as physical office liaison to Facilities.
  11. Perform other duties to help meet team or organizational needs and goals.

Position Qualifications and Education Requirements:

  • Associates Degree and a minimum of one year experience providing customer service or administrative support in a professional work environment.
  • Proven efficiency in Microsoft Suites including advanced skill in Microsoft Word, Excel and PowerPoint.

Skills and Abilities:

  • Excellent customer service skills.
  • High attention to detail.
  • Proven ability to work in team and independent environments.
  • Ability to execute deadlines.
  • Effectively use computers and computer software including word processing, databases, spreadsheets, internet tools, and electronic mail. Knowledge of MS Word and Excel required.
  • Knowledge of medical terminology preferred.
  • Communicate effectively with all levels of personnel and represent IDN professionally.
  • Work both independently and collaboratively.
  • Take and give direction.
  • Demonstrate effective problem-solving skills.
  • Maintain a valid driver’s license and personal auto insurance.

Physical Requirements:

  • Must receive required vaccines based on outlined schedules to protect our employees, healthcare personnel, donors, recipients, and families we may come into contact. (e.g., Influenza obtained annually by December 1st.)
  • Require travel to the office.
  • Express ideas verbally and convey detailed or important spoken information.
  • Receive detailed information through oral and auditory communication.
  • Require driving a vehicle under various conditions that may lead to visual and mental fatigue.
  • Sit for periods of eight (8) hours or more at a time in an office setting.
  • Lift equipment and supplies weighing up to 25 lbs.
  • Possible mental and visual fatigue associated with detailed work.
  • Work requires stooping, kneeling, reaching, and handling (seizing, holding, grasping, turning or otherwise working with hands).
