Parttime- $25,000 -$30,800
Fulltime- $51,500-$61,600
This system consists of ensuring that automation is setup and performing:
- Setup and Send Contract Via Document and Zapier
- Sending invoice [Be it full or Payment Plans]
- Creating folders for the client in Google drive and giving access to the client to the respective folders
- Setting up the Project Management Tool with the client's details and assigning team members with respective ongoing and recurring tasks related to the client.
- Creating a channel for internal communication with the client
- Having the initial client discovery call and discuss the business goals and the systems to keep in place for the client.
- Assigning the online team member with respective tasks to work on clients projects.
- Setting up and attending weekly, monthly and quarterly meetings to see if the goals set have been reached and set new goals for the week, month & for the quarter.
- Client Followup Postcards, Letters, Calls and Gift Processes
This system consists of:
- Having meetings with the client on confirming the dates for offboarding & due dates for the tasks to be completed.
- Notifying relevant team members to either complete the tasks within the due date or stop the work etc.
- Completing the collections process by letters and forwarding the client file to collections
- Updating the client details in our google drive with the termination dates etc.
- Deleting the communication channel with respect to the client.
- Archiving client’s folder in Google drive and Project Management tools.
- Removing the client from invoicing documentation & systems via stripe.
- Transfering all the clients files and its ownership to the client.
- Having a final meeting and sending a farewell email to the client.
- Client Meetings & Agendas
This system consists of:
- Setting up meeting and having clear agendas for the meeting
- Discussing and getting clarity in goals to be achieved weekly, monthly, quarterly and annually.
- Consulting Strategy Sessions
This system consists of:
- Pre-Auditing clients business with discovery call.
- Providing discovery calls.
- Provide ongoing support based on winning the caller to become a client.
This system consists of:
- Manning the Facebook Group (If any) and ensuring who joins the group - ensuring we are allowing the targeted audience to join the group etc.
- Reaching out to our ideal audience and making sure they know and find us.
- Proving oversight and support to our Group Management Team every 3rd week to ensure the marketing task and systems are final and ready for execution to our clients

- Taking care of all the inquiries received on emails - labeling them appropriately and forwarding to the respective team members to be taken care of.

- Getting clear on our KPIs and what metrics to track to reach our goals.
This system consists of:
- Market Research for the product or service you want to bring into the market.
- Gather product specs, and uploading for creation of a product or service.
- Validate the product/service
This system consists of:
- Ensuring all details are organized for the launch plan (Pre launch, During Launch and Post Launch) on launching this product or service
- Assist in a detailed plan on how to promote the launch on social media channels.
- Setting up metrics to measure how successfully our launch went.
- Document a launch debrief on what worked and what did not work for the launch to keep notes for the next launch.
- Funnel Creating & Testing
This system consists of:
Creation of funnel/landing pages for your offer.
- Working with a team for setting up all the backend tech and its integrations for your landing pages.
- Verify and the set up all the email automations necessary for your funnel/landing pages.
- Set up the order pages and required thank you pages for your funnel.
- Testing the funnel with test data before launching the funnel to the audience.
This system consists of:
- Reviewing sales funnel map.
- Checking and maintaining a schedule to get on to the sales calls.
- Having processes mapped out for all the sales campaigns for the launch etc.
This system consists of:
- Having the skill set and knowledge and following the plan mapped out on how you receive payments from your clients.
- Having the skill set and knowledge of certain processes streamlined on sending invoices to clients and payment reminders for clients who are on Payment plans etc.

Minimum Requirements for the Executive Administrator:
- 5 years of experience in the Sales and or Management
- A Degree in business, marketing, economics, or related field.
- Understanding of Sales process and dynamics.
- A commitment to excellent customer service.
- Superb interpersonal skills, including the ability to quickly build rapport with both customers and prospective leads.
- Able to work comfortably in a fast paced and growing environment.
- Ability to give presentations, demonstrate and sell products/services to potential buyers and negotiate sales terms.
- Must be able to communicate in English fluently.
- Must have sufficient time- commitment to manage multiple Sales campaigns.
- Ability to anticipate the needs of customers and communicate effectively.
- Superior organizational and time management skills.
- Strong written and verbal communication skills with a willingness to communicate openly and give/receive feedback.
