Position Description

The Enrollment and Shares Specialist assists with enrollment to support daily operations of Goodman’s early childhood and elementary age after school programs to ensure high-quality programs are maintained.

Qualifications

• Required to pass Child Care Division Central Background Registry.
• Required to have valid driver's license with an acceptable driving record to be trained to drive a GCC van.
• Preferred already established connections with Dane Co. school districts and alternative programs.
• Preferred knowledge of WI Common Core State Standards, Licensing Rules and Regulations and City of Madison Accreditation Guidelines.
• Preferred ERP/database experience or willing to learn skills.
• Understanding of, appreciation for, and experience with ability, gender, sexual orientation, and socio-economically, ethnically, and culturally diverse populations.
• Strong organizational, facilitating, and leadership skills.
• Excellent written and verbal comprehension and communication.
• Proficient in office software including Outlook, MS Word, Adobe, Power Point, and Excel.
• Ability to work independently with minimal supervision and as part of a team.

Responsibilities

• Assist departmental leaders process enrollment paperwork and maintain program waitlists.
• Work closely with families to complete scholarship packets in a timely manner.
• Ensure all required documentation is complete and properly submitted.
• Follow up with families on county approvals or denials including next steps.
• Assist families denied county funding apply for City funds.
• Educate families on the Wisconsin Shares process and walk through the process, acting as an ongoing resource for questions.
• Train families on how to make payments through Wisconsin Shares and provide ongoing communication and reminders for these payments through continuously reviewing the status of payments.
• Meet families ‘where they are at’ by supporting them through their preferred method including in-person, over the phone, via email or video call to provide inclusive hands-on support.
• Provide data support entering and editing participant data in our ERP system.
• Create and maintain a master roster for all CLC participants.
• Assist program departments with online forms, update teams on potential new enrollees and the waitlist.
• Conduct informational sessions and building tours for interested families.
• Facilitate Goodman Community backpack drive.
