ISD 622 is Hiring a Community Education Program Support Clerk - Grade IV Near Paul, MN

Closes to internal bidders on May 27, 2024 at 3:30 p.m.Position: Community Education Program Support Clerk (Grade IV)
Work Schedule: Mon-Fri, 8 hrs/day, 11 month
Start Date: Mid July 2024
Pay: Starting pay is $19.25 - $21.89 per hour dependent on qualifications

Required Qualifications
  • High school diploma or equivalent
  • Keyboarding speed of 40 wpm
  • Minimum of two years of relevant clerical experience
  • Strong communication (written and oral) and interpersonal skills
  • Strong computer skills including word processing, database, and spreadsheet programs
  • Highly organized and flexible
  • Skilled in prioritizing tasks, multi-tasking, and record-keeping
  • Self-motivated with the ability to function with minimal supervision
  • Ability to maintain confidentiality
Preferred Qualifications
  • Associate’s degree or equivalent
  • Prior experience with a variety of computer software programs such as Microsoft Word and Excel, InDesign, finance software, and registration software
Responsibilities
  • Provide clerical support for Facilities & Aquatics, Adventure Connection and middle school after school programming
  • Work closely with Facility Use & Aquatics clerk and Coordinator to support programming, process facility use permits, generate facility use signage, maintain ongoing communication with district staff regarding facility usage, and work with community sports leagues and organizations to provide gym, pool, field or classroom space for their needs
  • Work closely with Adventure Connection clerk and Coordinator to support programming, track payment plans, receive and process checks, update and maintain all Adventure Connection and middle school after school programs in an online system, update registration questions, ensure payments are made on time, send out cancellation notices to contract for non-payment
  • Provide quality customer service to administration, staff, parents, students, and community members. This includes responding to telephone, fax, mail, and email requests promptly and accurately
  • Process registrations and enrollments, applications, and/or facilities paperwork and payments, ensuring that they are current, complete, authorized and kept confidential. When applicable, make certain that insurance certificates have been received and are on file
  • Assist in generating reports/invoices for billing purposes and facilitate collection of fees from participants, school district partners, athletic organizations, community groups, etc. by sending notices and /or contacting the individual(s) responsible for the account
  • Verify, record, process, enter, and track registrations and payments for programs and/or facility use. Print and distribute class, childcare, or facility use information as necessary
  • Develop and maintain a database containing program participant information
  • Generate publications, catalogs, flyers, reports, newsletters, handbooks, and other program-specific documents using various types of computer software
  • Maintain ongoing communication with staff and participants to ensure that classes, activities, and events proceed smoothly
  • Schedule use of rooms and equipment for trainings or staff meetings, alerting appropriate staff of training/meeting times and locations
  • Attend department staff meetings, record meeting minutes, and distribute minutes to appropriate staff
  • Process check requests for services or supplies received in conjunction with the Accounts Payable department
  • Initiate and/or process refunds for unused classes, facility reservations, childcare, or related services
  • Order supplies for the department as well as classes and programs offered by the department, initiating purchase order requisitions as needed
  • Coordinate equipment repair and/or replacement as necessary
  • Maintain electronic and paper department records in accordance with the District’s records retention guidelines
  • Work collaboratively with team members, providing back-up coverage and assistance as needed
  • Attend weekly department meetings as needed
  • Other duties as assigned
