Contractor ResponsibilitiesSERVICE TASKS: Contractor will perform the following tasks in the time and manner specified:
- Collaborate with Department staff, and subject matter experts as identified by the Department for the Electronic Prenatal Risk Screening System project to prioritize the efforts related to modernizing the screening system, that includes the following tasks:
Develop and submit for Department approval a Project Management Plan within 30 calendar days of purchase order issuance that includes detailed strategies and timelines of the Electronic Prenatal Risk Screening System.
Oversee the implementation of the approved Project Management plan as directed by the Department.
Develop and maintain project artifacts (including but not limited to project plans, status reports, etc.) related to the projects being managed as directed by the Department.
Develop and maintain application documentation (business analysis related such as diagrams, flow charts, requirements documents, and others) for the applications for data modernization as directed by the Department.
Facilitate collecting system requirements with Department staff throughout the term of the Purchase Order as directed by the Department.
Perform needs analysis, analyze business processes, develop process maps, and assist Department staff in all phases of the projects as directed by the Department.
Develop test cases and test plans, conduct UAT, and track test status as directed by the Department.
Facilitate UAT with the Department staff as directed by the Department.
Facilitate meetings (i.e., schedule meetings, document decisions, identify issues and action items) with technical staff (Office of Information Technology [IT]) and program staff (Division of Community Health Promotion) as directed by the Department throughout the term of the Purchase Order.
Correspond (verbally and in written formats) with Department project teams, workgroups, and other external stakeholders regarding project activities, deliverables, and status as directed by the Department and as needed.
Each month, participate in monthly project status meetings as directed by the Department.
Follow the Department's IT processes and coordinate with other Department IT staff to ensure compliance with the Department's standards and guidelines (such as the Department Project Management Office Policies and Procedures) as directed by the Department.
Develop a Final Report that includes, at a minimum, a summary of activities completed, an evaluation of outcomes, and recommendations. Submit the Final Report by June 15, 2024, to the Department Contract Manager for the Department to review and approve. Modify the Final Report as directed by the Department and resubmit the Final Report to the Department Contract Manager within five business days of receiving the requested changes.
Prepare a monthly activity report documenting all activities performed, as identified in the approved Project Management Plan as referenced in subsection 6.1.1.2, and submit the report to the Department Contract Manager with the monthly invoice.
DATA SECURITY AND CONFIDENTIALITY TASK: The Contractor, its employees, subcontractors, and agents must comply at all times with all Department data security procedures and policies in the performance of this scope of work as specified in the Data Security and Confidentiality document attached to the purchase order.
