Ivy Tech Community College is Hiring an Administrative Assistant - Development and Marketing Near Terre Haute, IN

The position will provide support to the Vice Chancellor for Development and Marketing and the staff within the development and marketing offices. These functions will include a wide variety of tasks, including but not limited to event support, calendar management, promotional items inventory management, budget management, fund management, gift processing and receipting, invoicing, and other related procurement compliance systems.

MAJOR RESPONSIBILITIES:

Provide administrative support for the development and marketing teams in the following areas:

* Maintain the operations calendar and assist with calendar management for the Vice Chancellor of Development and Marketing.

* Process donor contributions in the donor database and coordinate all support documents. These processes may involve working with Systems Office Foundation, Finance, and Grant teams.

* Enter actions, proposals, and other relevant donor information into the donor management system as needed by the Vice Chancellor of Development and Marketing.

* Process procurement requests and work with external vendors on invoicing.

* Manage campus requests for promotional items and maintain inventory of promotional items for development and marketing needs.

* Assist with updating campus print and digital signage, and digital calendars.

* Assist with notetaking and meeting minutes as needed for team meetings, committee meetings, etc...

* Assist with task management as it relates to inner-office deadlines for reports, grant updates, staff meetings, etc.

* Provide event planning, preparation, and set-up support as needed, working with the assistant director of development and director of marketing.

* Provide administrative support functions such as sorting and distributing mail, establishing and maintaining files, document management, preparing correspondence, coordinating maintenance of office equipment, ordering office supplies, and maintaining adequate inventory levels.

Salary: $35,400

MINIMUM QUALIFICATIONS:

* Associate degree in business administration, accounting, or other related field or equivalent work experience in office management or bookkeeping.

* Must be proficient in Microsoft Office Suite including Word, Excel, PowerPoint, etc.

* Experience working in Canva preferred

* Must have excellent oral and written communication skills as well as the ability to manage multiple tasks, prioritize and work independently.

* Must have high ethical standards

* Demonstrated ability to exercise confidentiality with information and financial transactions.

PREFERRED QUALIFICATIONS:

* Bachelor's Degree

OTHER REQUIREMENTS:

* Must possess effective communication skills (phone, email, and written) and experience in public speaking. Proficiency with Microsoft Applications (Word, Excel, PowerPoint, and Teams) is required; experience with a Customer Relationship Management tool is preferred.
