J & J Staffing Resources is Hiring an Executive Assistant Project Manager Near Princeton, NJ

Our client, Princeton University has an immediate need for a high level Executive Assistant/Project Manager . The Executive Assistant/Project Manager primarily support the Executive Director and the Chair, with additional support being provided for communications/publicity projects. The schedule would begin as part time with a gradual increase to 75%-Full time in the coming months as needed. This position offers a hybrid schedule, however the Executive Assistant/Project Manager will be needed to work in the office on average 3 days/week.

Responsibilities:

  • Provide planning and logistical management to the Executive Director, while also supporting the events/communications planning team as needed.
  • We seek an open-minded experienced professional with strong emotional intelligence who will work on a variety of events and initiatives that may require unique approaches.
  • Support materials for Council historical timeline, organize and amplify Executive Director/Council archives (digital and manuscript), support material development for annual report, including a 10-year grant and fellow’s history.
  • Projects supported include Berhman Fellows, Executive Committee meetings, Old Dominion Fellows, and preparing materials for Chair/ED meetings with Registrar, Deans, and administrative heads.
  • Prepare basic budget histories using Excel required. We require high level of discretion and judgment in working with confidential Council correspondence and archives.
  • Research and propose options for registration systems, and create and manage registration processes within the system.
  • Develop customized event invitation and registration lists, manage all reminders, and answer attendee inquiries.
  • Collect and analyze metrics, and draft reports for leadership.

Calendars/Meeting planning

  • Support the Executive Director calendar/meetings and archives correspondence; sets up Zoom meetings; issues Outlook invitations for committees, fellowship lunches, etc.
  • Attention to detail and accuracy in all communications is required.
  • Manage the core ODFR office space utilization, acting as the main point of contact for space and facilities matters.
  • Manages the use and scheduling of flexible open work areas in the core ODFR space.
  • If needed, manage office equipment to ensure that it is functioning well in support of the office’s needs in conjunction with the ODFR IT Specialist.
  • Support review of materials in shared workspaces, such as shared drives or electronic collaboration tools/sites.
  • With Executive Director, develop electronic options for record retention and document management, and works with leadership individuals to maintain file management systems, including archiving sensitive materials.
  • Support Executive Director and Chair in organizing meeting notes and action items, providing event planning and publicity support, as needed.

Qualifications

  • Highly organized, ability to manage competing priorities and deliver high-quality work, whether working independently or as part of a team.
  • Effective and responsive communicator with diverse populations (written and oral).
  • Project management experience with strong attention to detail.
  • Experience with Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel, collaboration tools, including OneDrive and Google Drive, and ability to independently learn other systems, including various internal systems and event registration applications.
  • Bachelor’s degree
  • Ability to navigate campus to manage and attend meetings both on and off main campus
