Job Summary
The Product Development (PD) Systems Coordinator supports the PD Project Manager and the department management team in successfully completing approximately 250 projects annually. Provides coordination and project management support to help ensure operational and strategic aspects of various PD project requirements and milestones are achieved. Manages and maintains project tracking software, ensures product workflow are followed, project closeout is complete, identifying & helping resolve project obstacles. Responsible for tracking, reporting, maintaining metrics to support On-Time delivery of products, capture stability and quality metrics to support the Project Manager. Requires daily positive connections and excellence in cross-functional communication with other departments such as marketing, design, merchandising, store operations and distribution.
Essential Functions
•Functions as Subject Matter Expert (SME) and manager for project management tracking software within department. Provisions projects and keeps them up-to-date in software throughout project lifecycle. Responsible for the safeguarding and accuracy of the project tracking systems within department. Makes necessary corrections as needed and ensures project close outs.
•Conducts training within department on software best practices. Works cross-functionally with other departments on requests for assistance or information as needed. Provisions, monitors, supplements software tools for auxiliary organizations.
•Works with IT and software developer to troubleshoot and correct problems with project management software, as necessary.
•Coordinates, supports, and executes project closeout with technical teams.
•Leads multiple assigned projects with project team to support Project Manager.
•Provides Project Manager with daily updates on status of department projects.
•Performs routine data integrity audits within various systems.
•Serves as backup for Project Manager in department meetings.
•Assists with Product Development initiatives, projects and other duties as assigned.
Minimum Qualifications
•Associate’s Degree in Project Management, Business Administration or a related field; or equivalent combination of education and/or experience.
•2 years’ experience managing multiple concurrent projects.
•System administration experience with Smartsheet or similar systems.
•Experience in Oracle or similar systems.
•Intermediate proficiency with MS Office (e.g., MS Word, Excel, Outlook, PowerPoint, etc.) to conduct business analysis and documentation.
•Excellent verbal and written communication and diverse interpersonal skills.
•Ability to work effectively under pressure while maintaining a high degree of accuracy and strong attention to detail.
•Demonstrated ability to meet deadlines with multiple changing priorities.
•Strong collaboration with ability to build positive working relationships and establish a high-level of trust & credibility with all levels of the organization.
•Ability to handle problems involving several concrete variables in standardized situations.
Preferred Qualifications
•Experience managing multiple concurrent projects in a Product Development, Merchandising or Design field.
•Experience with Concur.
