Job Description:

We are seeking a friendly, enthusiastic, and detail-oriented Reservation Specialist to join our team. In this role, you will be the first point of contact for our clients. The Reservation Specialist efficiently manages the booking process, enhances customer satisfaction, and supports the overall operational and financial goals of the organization.

Key Responsibilities:

1. Customer Service and Support

• Primary Contact: Serve as the main point of contact for customers making reservations via phone, email, or online systems.
• Inquiry Handling: Respond to customer inquiries, provide information about services, and assist with booking processes.
• Complaint Resolution: Address and resolve customer complaints and issues efficiently, ensuring a positive customer experience.

2. Booking and Reservation Management

• Processing Reservations: Accurately enter and confirm reservations, modifications, and cancellations in the booking system.
• Coordination: Work with other stores to ensure all reservations are properly managed and communicated, especially for special requests and requirements.
• Documentation: Maintain comprehensive and accurate records of all bookings, ensuring data integrity.

3. Payment and Billing

• Payment Processing: Handle payment transactions, including processing credit card payments and managing deposits.
• Invoicing: Generate and send invoices to customers, and follow up on unpaid bills.
• Refunds and Adjustments: Manage refund requests and make necessary billing adjustments.

4. System and Data Management

• Database Maintenance: Regularly update the reservation system with current information about availability, pricing, and special offers.
• Data Analysis: Generate reports and analyze booking trends, customer preferences, and occupancy rates to provide insights for business planning.
• Technical Troubleshooting: Address and resolve any technical issues related to the reservation system, troubleshooting as necessary.

5. Marketing and Sales Support

• Promotion: Inform customers about promotions, packages, and special offers to maximize sales opportunities.
• Upselling: Identify opportunities to upsell additional services or upgrades to enhance customer experience and increase revenue.
• Feedback Collection: Gather customer feedback on their booking experience to improve services and inform marketing strategies.
