JCFS Brand is Hiring an Office Manager Near Skokie, IL

The purpose of the Office Manager is to coordinate all office services/activities and related activities by implementing administrative systems, procedures and policies, and monitoring administrative projects.

Responsibilities

  • Supervises all functions for office location including staff support requests, building needs and general staff concerns.
  • Supervise office administrative staff at location. Complete performance reviews, monitor time and attendance, and general staff management.
  • Coordinate and monitor onsite building upkeep, including working with maintenance and/or facilities management to maintain clean and functional operations.
  • In collaboration with the accounting department, oversee and/or perform billing and reconciliation tasks/services for insurance (commercial, Medicare, and/or Medicaid), direct client payments, or third-party payments for all services managed by the office.
  • Manages outstanding balance aging report for timeliness and accuracy for the assigned location.
  • Communicate any building details or issues to staff and visitors.
  • Organize and perform administrative tasks/services, such as client services database entry and upkeep, manning the reception desk(s), client record keeping, filing and office operations.
  • Organize and maintain inventory of supplies; places and expedites orders for supplies; verifies receipt of supplies.
  • Coordinates and prepare reports, analyze data, and identify solutions to administrative problems.
  • Contact appropriate sources to keep equipment fully operational.
  • Knowledge of A/V equipment in meetings rooms. Provide instruction to new users on how to use the equipment. Troubleshoot first-level issues.
  • Provides information and answers questions and requests; represents the organization as required to other departments, agencies, organizations or outside professional and general communities.
  • Evaluates office production. Recommends revisions to procedures and/or forms to improve the efficiency of workflow.
  • Oversees inter-office communications/courier services to ensure efficiency.
  • Attend Office Manager meetings and various management trainings.
  • Coordinate and oversee onsite emergency response team with assistance from emergency response agency committee.
  • Assists Program Directors and the Director of Office Administration with other projects/tasks as needed.
  • May be assigned additional responsibilities.

Requirements

  • High School Diploma or equivalent.
  • Minimum of two years’ experience working in a supervisory/management capacity.
  • Experience with medical insurance billing and reconciliation.
  • Strong proficiency in the Microsoft Suite, specifically Excel, Word, and Outlook.
