PRIMARY FUNCTION:
Coordination of fellowship program and administrative support to the Medical Director and the Administrator
ESSENTIAL FUNCTIONS:
  • Coordinates fellowship training program activities with GI Division Program Director.
  • Maintains knowledge of regulations, policies and procedures set forth by the following entities (ACGME, RRC, ERAS, NRMP, USMLE, ECFMG, and advises the program director, associate program director, and residents of changes, additions, and clarifications.
  • Prepares and maintains confidential academic and administrative records on resident physicians, both past and current.
  • Maintains and schedules all lectures, conferences, and fellowship meetings.
  • Maintains attendance record of all educational activities for accreditation
  • Completes all ACGME, AAMC, and local GME database information
  • Schedules the evaluation process: faculty, rotation, and program evaluations by residents; resident evaluations by faculty and nursing personnel; and peer evaluations for residents.
  • Schedules the yearly in-training exam with the ACC and serves as the exam proctor.
  • Oversees recruitment timeline (objective and subjective criteria for the selection of residents) and compiles reports.
  • Manages the Electronic Residency Application Service (ERAS) files.
  • Arranges all fellow applicant interviews and creates their itineraries
  • Obtains the fellows' graduation certificates and coordinates graduation ceremony.
  • Communicates onboarding with all incoming fellows
  • Maintains communication and letters of agreement with our affiliate training sites.
  • Maintains liaison with both internal and external constituents.
  • Compiles and prepares NRMP materials, Resident Tracking database, FRIEDA annual report, resident verification reports, and ACGME annual graduate summary reports.
  • Review incoming/outgoing correspondence and communications and drafts responses.
  • Maintains records for purchases made for the fellowship program.
  • Responsible for processing fellow reimbursements. Processes payroll
  • Maintains fellows' vacation records.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
Qualifications
EDUCATIONAL/TRAINING REQUIREMENTS:
  • Bachelor's Degree preferred
EXPERIENCE REQUIREMENTS:
  • Past experience in academic and or clinical setting preferred.
ADDITIONAL INFORMATION:
  • Ability to multitask while maintaining excellent customer service skills.
  • Strong organizational skills, dependable and able to meet deadlines.
Conditions of Employment
