Position Summary:Responsible for the daily management of all invoices and data relating to payables, ensuring disbursements are made upon proper authorization of management, for valid business purposes and that all disbursements are properly recorded.
Essential Duties and Responsibilities:
- Serves as administrator of Concur, Federation’s system for invoice process and payment, and expense report processing.
- Processing of all Accounts Payable invoices on a weekly basis in accordance with the Federation’s policies.
- Ensures expense reports are reviewed, processed and paid in accordance with the Federation’s polices.
- Records monthly expense transactions to the general ledger in accordance with Generally Accepted Accounting Principles (GAAP)
- Reconciles general ledger accounts on a monthly basis relating to accounts payable and prepaid expenses.
- Ensures 1099 compliance through ongoing review of vendor status, reviewing Form W-9’s and issuing year-end 1099 Forms.
- Reconciles designated gifts on a monthly basis.
- Supports in weekly cash flow projections of expenses.
- Practice excellent customer service skills in dealing with staff and vendors.
- Maintains and updates the Accounts Payable/Expense Processing policies and procedures manuals.
- Maintain check stock and timely notify CFO of reordering needs.
- Supports the year-end audit and IRS Form 990 preparations.
- rains staff on Concur and the policies over vendor payment and expense reimbursement.
- Additional duties as deemed necessary to accomplish the needs and goals of the department and the organization.
- Minimum of 3 years of progressive experience in accounts payable processing
- Demonstrated ability to work with specific applications software such as accounting and general ledger, and accounts payable software (Concur a plus).
- Strong knowledge of basic office computing, including MS Office (Word, Excel) and intermediate database skills
- Excellent interpersonal and communication skills required (Verbal and Written)
- Highly organized with proven ability to manage multiple tasks
- Strong analytical skills and attention to detail.
