JLL is Hiring a Business Support Specialist Near Round Rock, TX

We are seeking a highly motivated and versatile individual to join our team as a Business Support Specialist. Job Title: Business Support Specialist
Locations: Round Rock, TX 78682
Schedule: on-site, Monday-Friday, 8:00 AM to 5:00 PM
Reports to: Director of Programs
Type of Employment: Full-time w/JLL employee benefits within 1 month of employment
What this job involves:This onsite role in Round Rock, TX at a JLL managed client campus and requires a unique blend of skills in finance and business analysis, strong organizational and analytical skills, as well as the ability to handle multiple tasks simultaneously. Your main responsibilities will include purchase order (PO) management, financial oversight, data analytics, budget management and forecasting, as well as client requested administrative support. The successful candidate will bring valuable knowledge and experience, as well as strong analytical capabilities, to provide effective insights and strategic recommendations that drive the financial performance and growth of the company.
What your day-to-day will look like: Invoice and Purchase Order Management:
  • Oversee the end-to-end process of invoice and purchase order management, ensuring accuracy, proper coding, and adherence to policies and procedures.
  • Review and validate invoice details against purchase orders, contracts, and agreements.
  • Work closely with vendors, accounts payable, and procurement teams to resolve any invoice discrepancies or issues promptly.
  • Monitor and track invoice and payment status, ensuring timely processing and adherence to budgetary guidelines.
  • Conduct in-depth analysis of purchase orders and invoices to ensure accuracy, adherence to budget, and compliance with internal controls.
Budget Reconciliation and Forecasting:
  • Facilitate budget preparation exercises, including gathering inputs from various stakeholders, analyzing historical data, and making informed recommendations.
  • Reconcile and validate budget allocations against actual expenses, identifying discrepancies and variances.
  • Collaborate with finance and business teams to develop and maintain accurate rolling forecasts.
  • Provide regular updates and insights on budget performance, highlighting risks, opportunities, and recommendations for cost optimization.
Financial Oversight - Data Analysis and Reporting:
  • Gather, validate, and analyze complex data sets from various sources to identify trends and insights.
  • Generate executive level reports and presentations to communicate findings to key stakeholders.
  • Contribute to process improvements and operational efficiencies through data-driven recommendations.
  • Collaborate with cross-functional teams to gather business requirements and translate them into actionable plans.
Relationship Management:
  • Collaborate with internal stakeholders, including finance, operations, and executive teams, to understand business needs and align financial goals.
  • Build and maintain relationships strong relationships with the internal team as well as external vendor partners through effective communication that is built on trust and transparency.
  • Communicate complex financial and business concepts to non-technical stakeholders effectively.
  • Ad hoc requests from client/JLL as they rise (scope of work may evolve )
Required Skills and Experience:
  • High School Diploma or equivalent; 4 years of military service or college is desirable
  • 5-10 years of relevant work experience in financial analysis, business analysis, or related roles, with a focus on invoice and purchase order management, budget reconciliation, and forecasting.
  • In depth knowledge of financial principles, accounting principles, and financial statement analysis.
  • Demonstrated expertise in invoice and purchase order management processes, including knowledge of relevant systems and tools.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in using Microsoft Office Suite (Excel, PowerPoint, Outlook, etc.).
  • Ability to prioritize tasks and work independently with minimal supervision and collaborate effectively in a team environment.
  • Strong problem-solving skills and a proactive mindset.
  • Customer-oriented with a commitment to delivering exceptional service.
Preferred experience and skills:
  • Bachelor’s degree in finance, Business, Economics, or related field preferred (10 years of relevant work experience required)
  • Purchasing procurement software such as Ariba is desirable
