JMA Ventures, LLC is Hiring a Project Coordinator Near Orlando, FL

The Development Project Coordinator will actively manage the schedule, consultants, and project activities for a 900K sf mixed-use development (the “Project”) in Downtown Orlando, FL. He or she will represent JMA in coordinating all consultants, contractors, vendors and stakeholders throughout the course of the Project. He or she will directly report to the project executive and assist other members of the JMA Development team as needed.

JMA is looking for a detail-oriented, technologically skilled, motivated, independent worker who takes initiative to manage the site office for a significant commercial mixed used development project. As a valued member of the development project team on site, the successful candidate should have excellent multi-tasking and service-oriented communication skills. This position requires the candidate to juggle competing demands, meet deadlines, coordinate with cross functional teams (clients, subcontractors, vendors, and labor), and manage contracts.

Competitive applicants will attach a cover letter/resume that outlines any experience with a construction contractor, engineering or architectural firm, developer, or similar employers. Candidate will be required to manage contracts, oversee procurement functions, and maintain /tracking of labor hours, materials, schedules, bid packages, submittals, etc. in spreadsheets or other software.

As a key team member, candidate will also be expected to provide insight and recommendations on new industry technologies and methods to help the firm streamline all critical processes and enhance any existing SOPs.

Specific responsibilities:

  • Coordinate the project meeting calendar and overall development team communications.
  • Document project meetings, design reviews, and other material project sessions.
  • Manage project documents, create and maintain project files.
  • Assist with assembly of bid packages and solicitation to vendors and consultants as needed.
  • Assist with preparing and issuing consultant agreements, billing requirements, and insurance requirements.
  • Assist with preparation of PowerPoint presentations.
  • Actively pursue innovations and technologies to better assist the company efficiency and performance.
  • Assist with the review and approval of vendor and contractor invoices and pay applications.
  • Assist the project accounting team members with the preparation and submission of development draws.
  • Assist with the development, execution, and monitoring of risk management plans.
  • Provide general office maintenance and oversight.
  • Assist with performing job walks and on-site reviews.
  • Assist with change order review and processing.
  • Assist with tracking/review of project insurance and bonding.
  • Assist with supporting project financing activities.
  • Perform research and analysis projects as needed.
  • Utilize construction related software systems (e.g., Procore, Northspyre) to track and actively
  • manage construction activities and reporting metrics.
  • Maintain and update project logs (e.g., insurance, subcontract status, closeout).
  • Oversee/process day-to-day administrative items (e.g., mail, expense reports).
  • Coordinate procurement and set up (as necessary) of office equipment and supplies.
  • Generally support project team activities.

Qualifications: Three or more years' experience in general office responsibilities and procedures, preferred experience with a contractor, architecture firm, or similar. Experience with document control and contracts preferred. Excellent communication skills across diverse populations required. Self-starter with high degree of personal accountability and ability to multi-task required. Working knowledge of Microsoft Word and Outlook; Excel and PowerPoint, ProCore and Northspyre. Must be able to work independently and as a part of a team. Ability to learn and adapt to new software.

Work Environment: The initial assignment for this position will be in Orlando, Florida. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is sometimes exposed to moving mechanical parts. The employee is occasionally exposed to airborne particles or caustic chemicals.
