Job DescriptionJob Summary: To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by providing specialized clerical and technical duties as directed by the Superintendent of Schools. This position also includes related responsibilities associated with supporting the Director of Community Relations, and coordination of activities with a high level of confidentiality and customer service within the Office of the Superintendent. The Executive Specialist to the Superintendent of Schools will also provide back-up assistance as needed to the Administrative Assistant to the Superintendent and School Board.
Responsibilities And Tasks Include
  • Manage all clerical support functions within the Superintendent’s Office
    • Collaborate with staff within the Superintendent’s Office.
    • Manage the Superintendent’s calendar and commitments.
    • Manage the Superintendent’s email.
    • Prepare correspondence and other materials as requested.
    • Process invoices, requisitions and contracts.
    • Create and maintain various databases, files and records for the Superintendent’s Office.
    • Reconcile P-card transactions.
    • Coordinate and complete all district donation processes (Gifts to the District).
    • Order all office supplies, following district processes and guidelines.
    • Organize, plan, and make arrangements for a variety of meetings, events, conferences, appointments, training sessions, special meetings, retiree recognition or other events typically involving the Superintendent. (Cabinet, consultants, or tasks as assigned by the superintendent).
    • Conduct research to assist in preparing reports, summaries or other information.
    • Oversee access to Education Identity Access Management.
    • Create and maintain folders and documents in Google Drive (includes weekly Cabinet meetings, Learning Leaders and System Leader meetings).
  • Provide administrative support to the district’s Director of Community Relations.
    • Compile, research or gather information and data requested.
    • Assist in various office projects and activities as directed or as part of ongoing duties.
    • Schedule meetings and reserve meeting rooms.
    • Coordinate the printing and distribution of various types of communication (e.g. emails, letters) to staff or the public.
    • Create and maintain district mailing lists, databases or other records.
    • Gather information and/or start draft messaging for select high profile emails.
    • Implement content updates on district and school websites.
    • Order office supplies for communications department staff.
  • Interact with staff, students, and members of the community on behalf of the Superintendent.
  • Back-up/as needed assistance to the Administrative Assistant to the Superintendent and School Board. (See Administrative Assistant to the Superintendent and School Board job description for tasks associated with the position.) Executive Specialist to the Superintendent would perform identified tasks in the absence of the Administrative Assistant. May involve attendance at evening and weekend meetings. Cross-training for both positions required.
  • Perform other comparable duties of a like or similar nature as assigned. (attend district in-service training sessions and meetings; special projects as assigned by the Superintendent).
Skills, Knowledge, Abilities:
  • Extensive experience in the fundamentals of general office and general administrative procedures and operational requirements.
  • Knowledge of school board policies and district administrative procedures.
  • Experience with school administration functions, district organization, and services provided by school districts.
  • Experience with office organization, records retention and records management principles and practices.
  • Ability to work well under pressure.
  • Customer service and interpersonal skills in assisting internal and external stakeholders with concerns and requests for information.
  • Writing and communication skills, including appropriate grammar and punctuation.
  • Word processing, database maintenance, spreadsheet creation and use of presentational graphic programs or other office productivity software; familiarity with web content management systems.
  • Coordinating, prioritizing and leading the administrative support activities, and secretarial activities and responsibilities within an office.
  • Applying basic math skills in adding, subtracting, dividing, multiplying, calculating percentages, ratios, averages or percentiles.
  • Organizing, planning for and carrying out departmental projects; coordinating events and activities.
  • Performing work assignments requiring attention to detail, precision and accuracy.
  • Performing all assigned functions with minimal direction in accordance with established management, departmental operations, and work methods.
Minimum Qualifications
  • Associate degree or equivalent; or six (6) years of experience providing professional level staff assistance.
  • Minimum of 3 years previous experience in the area of administrative support (school district experience preferred).
  • Acquire Minnesota notary certificates within 3 months of hire.
  • Annual election clerk certification required.
Salary Range: $22.30 $30.32 - View salary grid on Page 3, Section 1, and Classification, Pages 3-4, of the Confidential Support Specialists
Work schedule: Hours: 8 hours per day, 8am-4:30pm (approx.), M-F, 260 days/year
