Summary: The Hospitality Liaison plays a crucial role in ensuring smooth operations and exceptional guest experiences within the establishment. Responsible for managing check-in processes, inventory tracking, retail support, administrative tasks, and ongoing daily operations, this position requires attention to detail, strong communication skills, and a proactive approach to problem-solving. From greeting guests upon arrival to assisting with retail sales and maintaining inventory accuracy, the Hospitality Liaison contributes significantly to the overall success of the hospitality team. This position works closely with the Hospitality Coordinator and supports and fills in as necessary. Duties And ResponsibilitiesManage Check-In:
Prepare check-in station
Ensure all guests regardless of reservation status receive a warm greeting and farewell
Assist with guest check-ins and departures
Document incidents and exceptional experiences
Ensure availability of necessary supplies and access to POS and reservation systems
Monitor Teams notifications and add walk-in reservations
Refund tasting fees for eligible new sign-ups
Assist with table clearing and register closure
Inventory:
Conduct scheduled inventory counts
Print and deliver inventory reports
Retail:
Support Wine Educators with opening side work and table setup
Assist with Employee Wine Program Orders and shipping adjustments
Fulfill, refund, and process club orders
Aid walk-in guests with purchases and packing
Keep retail area organized and functional
Assist with administrative tasks as needed
Administrative:
Train new hires and assist with check-in procedures
Organize rung-out WRFs for administrative processing
Ongoing Daily Tasks:
Maintain cleanliness and organization of check-in area
Ensure availability of backup supplies
Conduct walk-throughs to clear dirty glassware
Assist with table turnover during peak periods
Check and clear glassware in vaults
Requirements
Excellent organizational and multitasking skills
Strong attention to detail and ability to follow procedures
Exceptional customer service and communication skills
Ability to work effectively in a dynamic team environment
Restaurant, hotel, or winery experience a plus
Proficiency in Tock and Commerce 7 preferred
Language SkillsAbility to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Ability to write reports, business correspondence and procedure manuals. Bilingual proficiency preferred. REASONING ABILITYAbility to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to solve practical problems associated with customer service. PHYSICAL DEMANDSMust be able to lift at least 37 pounds, sit and stand for prolonged periods of time, work on a computer for prolong periods of time. WORK ENVIRONMENTWork is mainly done in an office environment, with occasional warehouse and outside work. Noise levels are low to moderate.
