Job Description:

The Accounting Coordinator will be responsible for the closeout of projects. Duties consist of project support activities, including but not limited to: payments tracking, maintain knowledge of company bookkeeping policies, review and enter invoices, initiate payment follow up, process, verify, enter and reconcile vendor bills, oversee payment to vendors. Also process and record any unique billing situations that fall outside of regular operations, such as custom payment plans, customer & vendor setup, data entry, cost and project tracking, account maintenance, customer and vendor support, electronic filing, coordination and management of project records, project reporting.

1. Organize and coordinate various responsibilities for a portfolio of projects/customers/vendors/subcontractors and a multitude of documents

2. Operate withinmultiple contract schedules and deadlines

3. Multitask and delegateconfidently

4. Comprehend, follow, and comply with standard operating procedures and internal controls

5. Communicate clearly and concisely with diverse audiences, in both oral and written context

6. Extremely organized to keep track of all emails, letters and calls related to client invoices

7. Extremely organized to keep track of all emails, letters and calls related to vendor bills

8. Maintain bookkeeping databases and spreadsheets, update information as needed

9. Collect and process Credit Card payments

10. Process, verify, enter and reconcile vendor bills

11. Handling accounts payable for multitude of vendors

12. Create reports summarizing payments to vendors

13. Update client accounts based on payment or contact information

14. Oversee all outstanding accounts, communicate with team members and follow up with customer about pending payments

15. Resolve payment discrepancies

16. Analyze workflow processes

17. Ensure bills are paid in a timely and accurate manner while adhering to company procedures

18. Establish and maintain relationship with new and existing vendors

19. Communicate with vendor payment remittance with related information

20. Create invoice for commission due from vendors

21. Keep track of commissions and/or SPIFFS due to JPL

22. Compare purchase orders, prices, terms of payment and other charges

23. Process transactions and perform accounting duties such as account maintenance, record entries

24. Problem solve, then recommend and assist with implementing solutions

25. Review and analyze correspondence, determine significance, rout to appropriate team member in timely and efficient manner

26. Answer phones, courteously

27. Work well in a team environment

28. Assist with other duties as assigned

29. Work with – Microsoft Outlook, Excel, Word, Adobe Acrobat, OneNote, and PowerPoint

30. Proficient at QuickBooks Enterprise

Job Type: Full-time

Pay: $27.00 - $30.00 per hour

Expected hours: 40 per week
